Wherefour Automated Customer Reorder Reminders

Every Monday, WebRun opens Wherefour, calculates each customer's average reorder frequency from their order history, identifies accounts that are due for a reorder this week or next, and drafts a personalized reorder reminder email in Gmail for each one. For customers on a recurring Stripe payment plan, it also checks that their billing is active before the reminder goes out.

In short

How do I automatically remind food manufacturing customers to reorder before they run out?

Every Monday, WebRun calculates each customer's average reorder cycle from Wherefour order history, identifies accounts due for replenishment this week, checks recurring billing status in Stripe, and drafts a personalized reorder reminder email in Gmail per customer. Sales reps review and send the drafts so customers are prompted to reorder before they run out or turn to a competitor.

  • Reps reach out to customers before they run out, not after they call with an urgent order
  • Reorder timing is based on each customer's real order cycle, not a generic schedule
  • Customers with billing issues are flagged so reps address payment before sending a reorder prompt

Built for food manufacturers · beverage producers · co-packers · sales reps · account managers

Questions, answered

Will it send reorder reminder emails to customers without rep approval?

No. Every reorder reminder is drafted in Gmail and left for the assigned sales rep to review and send. No email goes to a customer until a human approves it.

How does it calculate when a customer is due for a reorder?

It calculates the average number of days between the customer's last three orders in Wherefour and flags the account once that interval has passed 80% of completion, giving reps a comfortable lead time to reach out before the customer runs out.

What if a customer's order frequency is irregular?

For customers with fewer than three orders or a high variance in order frequency, WebRun notes the irregularity in the draft and includes all available order history so the rep can use their judgment on the timing.
