Automatic Pulmonology Referral Intake Tracking

Every few minutes during business hours, WebRun checks the practice's eFax inbox for new incoming pulmonology referral faxes, opens ModuleMD to check whether the patient already has a chart and what the referral reason and urgency are, and logs each one to a Google Sheets intake tracker so scheduling can book the right visit type.

In short

How do I automatically route incoming pulmonology referrals?

Every few minutes during business hours, WebRun checks the practice's eFax inbox for new referral faxes, opens ModuleMD to see whether the patient already has a chart, and logs each referral to a Google Sheets intake tracker with reason, urgency, and referring provider, sorting urgent cases to the top so scheduling always works the queue in the right order.

  • New referrals are logged within minutes of arriving instead of sitting in a fax tray
  • Urgent referrals surface at the top of the queue automatically
  • Duplicate faxes are skipped instead of double-logged

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

    • For new patients, flag the referral for a new-patient intake packet

Done when Every referral is matched to an existing chart or flagged as a new patient.

  4. 3
Google Sheets - log the intake queue

Done when The tracker sheet lists every new referral, sorted with urgent cases first, ready for scheduling to work.

Questions, answered

Will it reply to the referring provider automatically?

No. WebRun only logs the referral to the intake tracker for scheduling to work. Any acknowledgment back to the referring provider is drafted and sent by staff, not sent automatically.

How does it prioritize urgent referrals?

It reads the urgency flag and stated reason on each fax, and sorts anything suggesting suspected malignancy or acute respiratory failure to the top of the tracker for same-day attention.

What if the same referral gets faxed twice?

It checks already-logged referrals each run by patient name and referring provider, so a duplicate fax is skipped rather than logged twice.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
