Kickserv Automated Missed Appointment Follow-Ups
Each evening, WebRun opens Kickserv and checks for irrigation jobs scheduled today that were not marked complete or in-progress, drafts a same-day reschedule SMS in Twilio for each affected customer, and posts a missed appointment summary to Slack so your team can act first thing tomorrow.
How do I automatically follow up on missed irrigation appointments the same day?
WebRun checks Kickserv every evening for irrigation jobs scheduled that day but not marked complete. For each unresolved missed appointment, it drafts a reschedule SMS in Twilio for your review and posts a full missed appointment summary to Slack, so your team can act on every no-show before the next morning.
- Every missed appointment gets a reschedule draft within hours, not the next morning
- Team sees all no-shows in one Slack summary before the next day starts
- Customer SMS drafts are reviewed before sending so messaging stays empathetic and on-brand

Questions, answered
Will it text customers about a missed appointment automatically?
No. Every SMS is drafted and queued in Twilio for your review. No message is sent to a customer until you approve it, ensuring your team can add context before reaching out.
What if the technician already contacted the customer directly?
You can add a note or update the job status in Kickserv to reflect direct contact, and WebRun will skip that job in the evening run so it does not generate a duplicate draft.
What if a job was genuinely cancelled by the customer, not a missed appointment?
WebRun checks the Kickserv job status. Jobs marked as Cancelled are excluded, so only truly unresolved no-shows or missed visits generate a draft and appear in the Slack summary.
