In short

How do I follow up with athletes who miss their sports medicine appointments?

WebRun checks Healthy Roster every morning for missed appointments, identifies no-shows from the prior day, and drafts a follow-up message for each athlete for the trainer to review. It then posts a recovery digest to Slack so the training room team starts the day knowing exactly who to reach out to.

  • Every no-show is documented and followed up the next morning
  • Trainers start the day with a ready-to-send draft, not a blank message
  • Athletes with repeat no-shows are flagged for priority outreach

Questions, answered

Will it send messages to athletes directly?

No. WebRun drafts the follow-up message for the athletic trainer to review and send. No message goes to an athlete, parent, or coach without the trainer's approval, keeping all protected health information under your control.

How does it know which no-shows need urgent follow-up?

It flags athletes with two or more consecutive no-shows and surfaces them at the top of the Slack list, so the trainer can prioritize those cases first.

What if an athlete rescheduled on their own after missing?

WebRun reads the live appointment status in Healthy Roster each morning, so anyone who has already rescheduled is automatically excluded from the recovery list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
