Automated Experian Health Estimate Variance Report

Every Monday, WebRun opens Experian Health, pulls last week's patient estimates alongside the actual final charges once the encounter is billed, calculates the dollar and percentage variance for each, logs every encounter to Airtable, and emails a summary to your revenue cycle director showing where estimates are running high, low, or on target.

In short

How accurate are our patient estimates compared to the final bill?

Every Monday, WebRun compares last week's Experian Health patient estimates against the actual final charges once each encounter is billed, calculating the dollar and percentage variance. It logs every encounter to Airtable, flags anything over your threshold, and emails a summary to your revenue cycle director showing which service lines are least accurate.

  • Estimate accuracy is measured every week instead of anecdotally
  • Service lines with the least accurate estimates are named, not just an overall number
  • Revenue cycle leadership gets the summary without building the comparison by hand

Built for revenue cycle directors · patient access managers · finance and analytics teams · hospital leadership

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.experian.com/healthcare in a real browser with your saved login - no setup, no API keys.

  2. 1
Experian Health - pull last week's estimates and final charges
    experian.com
WebRun in Experian Health: pull last week's estimates and final charges
WebRun opens Experian Health to pull last week's estimates and final charges.
    • Open Experian Health and pull every patient estimate generated last week that now has a final billed charge
    • Calculate the dollar and percentage variance between the estimate and the actual charge for each
    • Group by service line so patterns by procedure type are visible

Done when Every matched estimate and final charge from last week has a calculated variance.

  3. 2
Airtable - log the variance per encounter
    airtable.com
WebRun in Airtable: log the variance per encounter
WebRun opens Airtable to log the variance per encounter.
    • Log each encounter to the variance base with the estimate amount, actual charge, and variance
    • Flag any encounter where the variance exceeds your threshold, typically 20 percent
    • Roll up an average variance by service line

Done when The Airtable base reflects every encounter's variance, with over-threshold ones flagged and an average per service line.

  4. 3
Outlook - email the summary to leadership
    microsoft.com
WebRun in Outlook: email the summary to leadership
WebRun opens Outlook to email the summary to leadership.
    • Send a summary email to the revenue cycle director with the overall average variance and the count of over-threshold encounters
    • List the service lines with the largest average variance
    • Link to the full Airtable base for detail

Done when The revenue cycle director has this week's estimate accuracy summary in their inbox.

Questions, answered

Does this change the estimate a patient already received?

No. It only reports on accuracy after the fact. Nothing about a previously issued estimate is changed or resent to the patient.

What counts as an over-threshold variance?

Any encounter where the actual charge differs from the estimate by more than 20 percent by default, flagged so your team can investigate the specific service line.

Can it tell me which procedures have the least accurate estimates?

Yes. Variance is grouped by service line, so the summary names exactly which procedure types are running high or low most often.
