Nextech Automated Surgery Day Family Updates

Every few minutes during the surgical day, WebRun opens Nextech, checks each patient's current Mohs stage, drafts a short plain language status update for the waiting family member in Twilio, and logs every drafted update to a Google Sheet with a timestamp so your front desk always knows what is ready to send.

In short

How do I keep waiting families updated during Mohs surgery?

WebRun checks Nextech every few minutes during surgery for each patient's current Mohs stage, then drafts a short, plain language status update for the waiting family in Twilio, holding it for front desk approval before it sends. Every draft is logged to Google Sheets with a timestamp, so the team always knows what has gone out.

  • Waiting families get a status update within minutes of a stage change, once approved
  • No clinical detail or margin result ever reaches a family text
  • Front desk has a complete log of every update drafted and sent

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.nextech.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Nextech - check each patient's current stage
    nextech.com
WebRun in Nextech: check each patient's current stage

    • Open Nextech and check the current stage for each patient in surgery
    • Note whether the patient has moved to a new stage, is in reconstruction, or is in recovery since the last check
    • Identify the family contact on file for each patient

Done when Every patient in surgery has a current stage and a family contact identified.

  3. 2
Twilio - draft the family status update
    twilio.com

WebRun opens Twilio to draft the family status update.
    • Draft a short, plain language update for the family, for example now in stage two or now in recovery
    • Avoid clinical detail or margin results. Keep the update to timing and status only
    • Hold every draft for front desk approval. Do not text a family member automatically

Done when A reviewed status update draft exists for every patient whose stage has changed.

  4. 3
Google Sheets - log what has been drafted
    google.com
WebRun in Google Sheets: log what has been drafted
WebRun opens Google Sheets to log what has been drafted.
    • Log each drafted update with the patient, the stage, the time drafted, and whether it was sent
    • Mark a draft as sent once the front desk approves and sends it, so the log stays accurate

Done when The log reflects every update drafted and its current send status.

Questions, answered

Will it text a family member without front desk approval?

No. Every update is drafted and held in Twilio. Your front desk reviews and sends it, so no message reaches a family member automatically.

Does the update include margin results or clinical details?

No. It sticks to timing and status only, such as now in stage two or now in recovery. Margin results and clinical details stay in Nextech for the care team.

How do we know what has already been sent?

The Google Sheets log marks every update as drafted or sent, so the front desk can see at a glance what a family has already received.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
