How to Automate Nextech

Nextech automates the clinical and financial core of a specialty practice. Its EHR, practice management and payment posting handle documentation, scheduling and reconciliation, and Cora Scribe drafts clinical notes. The work that sits between the practice and everyone outside it is where staff time still goes.

Nextech runs the specialty practice end to end

Nextech is a healthcare platform built for specialty practices rather than general medicine, serving ophthalmology, plastic surgery, dermatology, med spas and orthopaedics. It combines an EHR, practice management, payments, a CRM, the TouchMD patient experience tools and revenue cycle services.

Specialty practices are a distinct kind of business, and the software reflects it. A practice of this sort is simultaneously a clinic, a retail operation and a small insurance-billing company. It sells procedures that may be elective, manages a surgical schedule, and runs a claims process against payers with their own rules.

So the software has to be broad, and Nextech is. Which means the gaps are not in the middle of the practice. They are at its edges, where it meets organisations that have their own systems and no interest in yours.

The front desk absorbs whatever the software does not

In most practices there is a person, or several, whose day is spent inside other organisations' websites.

They check eligibility and benefits on each payer's portal, one patient at a time, for tomorrow's schedule. They chase prior authorisations. They log into a payer site to see why a claim was denied and what the appeal window is. They download remittance advice. They check whether a surgical centre confirmed a booking. They pull results from a lab portal that does not interface.

It is high-consequence work performed at high volume. A missed eligibility check becomes a patient who thought they were covered and a bill nobody can collect. A missed appeal window is simply money the practice will not see.

And none of it can be batched safely, because each item has its own deadline attached to somebody else's calendar.

Eligibility checked before the day Tomorrow's list run against the payer portals overnight, so a coverage problem is found before the patient arrives.
Denials worked on time Payer portals checked on a schedule, so an appeal window closes because it was answered, not because it was missed.
Patients told sooner Results, approvals and scheduling changes prepared for a person to send rather than waiting for someone to notice.

Nextech automates the clinical and billing core

Nextech has invested seriously in automation, and the internal workflow is genuinely well covered.

Cora Scribe provides near real-time ambient documentation for ophthalmology, drafting the clinical note as the encounter happens. Payment posting and reconciliation are heavily automated, with the company reporting an 84 percent auto-posting rate. Scheduling, reporting and billing sit together on one platform rather than needing to be reconciled between three. A mobile-first patient portal handles appointments, records and billing, and an analytics dashboard surfaces trends across the practice.

Every one of those operates on data already inside Nextech, or arriving through a channel it was built to receive.

The payer portal is not such a channel. Neither is the surgical centre's booking system, the lab that never interfaced, or the manufacturer portal where a device rebate is claimed. Those hold information the practice depends on and offer no route in except a person with a login.

The work that lives between the practice and everyone else

A coverage problem found at the front desk is a coverage problem found too late. Every portal that would have shown it earlier opens with a password the practice already holds.

Tomorrow's schedule run against payer portals overnight, with coverage problems surfaced before the patient is in the building rather than at the desk in front of them. Prior authorisation status checked daily on each payer's site, so a delay is chased on day three instead of discovered on the morning of surgery.

Denials pulled from payer portals with their appeal deadlines attached, sorted by how soon they close and how much they are worth. Remittance advice collected and filed. Lab results retrieved from portals that never interfaced and attached to the right chart.

In a clinical setting, one thing is never a matter of preference. Gathering information runs unattended. Anything that reaches a patient, or that changes a clinical or billing record in a way somebody could act on, is prepared for a qualified person to review. The value here is in taking the fetching away, not the judgement.

Portal work is not clinical work

The practice hired people to look after patients. A great deal of their week is spent logging into other companies' websites on those patients' behalf.

WebRun is an AI agent that works a real Chrome browser, signed in as your staff are. It opens the payer portal, the lab or the surgical centre's system, reads what is there, and brings it back for a person to act on.

It runs on your schedule in your own private environment, sessions are not shared between tools, and a workflow can be locked to an explicit list of sites. You can watch a run and stop it at any point.

The workflows below are already built, and each one names exactly what it opens.

Questions people ask

How does this fit with patient data handling?

Sessions stay inside your own private environment and are not shared with other tools in a workflow, and a workflow can be restricted to a named list of domains. It sees what the staff member signing in can see, and nothing else.

Will it change anything in a patient's chart on its own?

The default is that it gathers and presents, and a qualified person acts. Anything that writes to a clinical or billing record is set up to prepare the change and wait for review.

Does it work with payer portals that have no API?

Yes, and those are the main reason to use it. It reads the portal the way your staff do, which is the only route those sites offer.
