Nextech Automated Provider Utilization Report

Every Monday, WebRun opens Nextech and pulls the prior week's appointment data by provider, calculates each provider's scheduled versus available slots, no-show rate, and procedure mix, logs the full report to Google Sheets, and posts a concise summary to Slack so practice leadership has clear utilization data for scheduling decisions.

In short

How can I automatically track ophthalmology provider scheduling utilization each week?

Every Monday WebRun pulls the prior week's Nextech scheduling data, calculates each provider's utilization rate and no-show percentage, and logs the full breakdown to Google Sheets. Practice leadership gets a concise Slack summary with under-utilized and at-capacity providers highlighted, ready for the weekly scheduling review.

  • Leadership has a weekly utilization report before Monday scheduling reviews without manual data pulls
  • Under-utilized providers and at-capacity bottlenecks are flagged automatically each week
  • Scheduling decisions are based on accurate prior-week completion data rather than estimates

Built for ophthalmology practice managers · medical directors · practice administrators · scheduling coordinators

Questions, answered

Does this report include any patient information?

No. The report contains only scheduling and utilization metrics aggregated by provider: slot counts, completion rates, and procedure type totals. No patient names or health information appear in any output.

How is provider utilization calculated?

WebRun divides completed visits by total scheduled slots for each provider over the prior week, expressed as a percentage. Providers below 70 percent are flagged as Under-Utilized and those above 95 percent as At Capacity.

Can it include surgical procedure data alongside clinic visit data?

Yes. WebRun reads all appointment types from Nextech including surgical blocks, so the procedure mix column in the report shows the split between clinic visits, surgical cases, and other appointment types for each provider.
