Kick off a smooth client onboarding for every new survey project
When a new project deposit lands in Stripe, WebRun creates the project record in Carlson Software, prepares a DocuSign engagement letter envelope with the project details pre-filled, and drafts a welcome email in Gmail outlining the next steps for the client, leaving both the DocuSign envelope and the email for your review before anything goes to the client.

How do I automatically kick off client onboarding when a new survey project is confirmed?
When a new project deposit clears in Stripe, WebRun creates an active project record in Carlson Software, pre-fills your DocuSign engagement letter template with the client and project details, and drafts a professional welcome email in Gmail. Both the contract envelope and the email are held for your review before anything reaches the client.
- Every confirmed project triggers a complete onboarding package within minutes of deposit
- No engagement letter or welcome email reaches a client without your review
- Carlson Software is updated automatically so the crew lead has the job from day one

Questions, answered
Will it send the engagement letter or welcome email to the client automatically?
No. Both the DocuSign envelope and the Gmail welcome email are prepared but held for your review. You check the pre-filled details and approve each before anything reaches the client, so no contract is sent without your sign-off.
What if the deposit amount does not match the quoted price?
WebRun flags a discrepancy between the Stripe payment and the QuickBooks estimate in the Slack notification. The onboarding package is still prepared, but the payment mismatch is highlighted so you can resolve it before sending the engagement letter.
Can it handle multiple project types with different engagement letter templates?
Yes. You can configure a different DocuSign template per survey project type in your WebRun settings. WebRun reads the project type from Carlson Software and selects the correct template automatically.
