Automated eClinicalWorks GI Provider Utilization Report
Every Monday, WebRun opens eClinicalWorks, pulls the prior week's completed appointments and procedures for each GI provider, calculates utilization metrics including slots used, no-shows, and procedure mix, logs the results to Google Sheets, and posts a leadership digest to Slack so schedule efficiency can be reviewed and improved each week.
How do I get a weekly GI provider utilization report from eClinicalWorks automatically?
WebRun opens eClinicalWorks every Monday and pulls the prior week's appointment and procedure data for each GI provider, calculating utilization rate, no-show rate, and procedure volume by type. The results are logged to Google Sheets with week-over-week trends and a leadership digest goes to Slack so your practice can act on scheduling gaps each week.
- Leadership sees each provider's utilization rate and no-show rate every Monday without running a manual report
- Providers below the utilization threshold are flagged automatically for a scheduling review
- Week-over-week trends in Google Sheets reveal seasonal patterns and scheduling improvements

Questions, answered
Does it share individual provider performance data outside the practice?
No. The utilization report is posted only to your internal leadership Slack channel and stored in your own Google Sheets. No provider performance data leaves your organization.
What counts as a utilized slot versus a no-show?
WebRun uses the appointment status recorded in eClinicalWorks: Completed counts as utilized, No-Show and Late Cancel count as wasted slots. You can adjust which statuses fall into each bucket to match your practice's definitions.
Can it track utilization across multiple clinic locations?
Yes. WebRun can filter eClinicalWorks data by location and produce a separate summary section per site in Google Sheets, giving multi-site practices a side-by-side comparison each week.
