File & Rename Incoming Documents
Every hour, WebRun checks your Google Drive drop folder for new files, reads each document's content to identify its type, renames it following your naming convention, moves it to the correct subfolder, and logs the action to your filing register.
How can I automatically file and rename incoming documents in Google Drive?
WebRun files and renames your incoming documents automatically every hour. It checks your Google Drive drop folder for new files, reads each document's content to identify its type, renames it to your naming convention, moves it to the correct subfolder, and logs the action to your filing register — so your Drive stays organised without manual effort.
- Incoming documents renamed and filed within the hour
- Consistent naming convention applied across every file automatically
- Filing register updated so every document is traceable
Built for operations teams · office managers · legal teams · small business owners
What does WebRun do on every run?
The exact actions WebRun takes, in order — in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens
drive.google.comin a real browser with your saved login — no setup, no API keys. -
1
Google Drive — read & categorise new files
WebRun opens Google Drive to read & categorise new files. - Open the designated drop folder in Google Drive and list files added in the last hour
- Open each file and read enough content to identify its type: invoice, contract, report, receipt, correspondence, or other
- Rename the file to your convention (e.g. YYYY-MM-DD_ClientName_Type) and move it to the matching subfolder
- For files that cannot be categorised confidently, leave them in the drop folder and flag them
Done when Every new file is either renamed and moved to its correct folder, or flagged for manual review.
-
2
Google Sheets — log each filing action
WebRun opens Google Sheets to log each filing action. - Open the filing register sheet
- Append a row for each file processed: original name, new name, type, destination folder, and timestamp
- Mark any flagged file in the register as 'Needs Review'
Done when The filing register is up to date with every file processed this hour.
-
3
Slack — notify you of anything needing review
WebRun opens Slack to notify you of anything needing review. - If any files were flagged as unrecognised, post a message to #ops with the filenames and a link to the drop folder
- Keep silent if everything was filed cleanly — no noise when there is nothing to act on
Done when You have been notified of anything that needs your attention, and nothing else.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
What if it misfiled a document?
The filing register logs every action with the original file name, so you can see exactly where it went and move it back. You can also tighten the categorisation rules to prevent recurrence.
Does it delete anything from the drop folder?
No. It moves files into subfolders — the original is never deleted. If something is flagged, it stays in the drop folder untouched until you handle it.
Can I use a custom naming convention?
Yes — give WebRun your pattern (date format, separator, field order) and it will apply it consistently to every file it processes.
