Automated Climbing Gym Review Requests

Every morning, WebRun opens Rock Gym Pro, finds members who checked in yesterday but have not yet left a Google review and have not been asked for one in the past 90 days, drafts a friendly review request email for each one, and posts a send list to Slack for staff to approve before any email goes out.

In short

How do I automatically request Google reviews from climbing gym members after their visit?

WebRun checks Rock Gym Pro every morning for members who visited yesterday and have not been asked for a review in 90 days, drafts a short personal review request email with a direct Google link for each one, and posts the queue to Slack for staff to approve before sending, turning regular visits into a steady flow of genuine gym reviews.

  • Consistent daily flow of review requests triggered by real visits, not a one-off campaign
  • 90-day cooldown prevents over-asking any single member
  • No review request sent without a staff member reviewing and approving it

Questions, answered

Will it send review requests to members without staff approval?

No. Every review request is saved as a Gmail draft and listed in Slack for approval. No email is sent to any member until a staff member reviews and sends it.

How does it avoid asking the same member for a review too often?

WebRun enforces a 90-day cooldown per member. Anyone who received a review request in the past 90 days is automatically excluded from the daily list, regardless of how often they visit.

Why does it only target members who visited at least twice in the past month?

Members who visit regularly are more likely to leave a positive review. Filtering for frequency reduces the chance of catching someone after a disappointing first experience.
