In short

How do I remind language school teachers to submit their weekly availability?

Every Monday, WebRun checks each teacher's availability record in Teachworks for the coming week, cross checks Google Calendar for known conflicts, and posts a tagged reminder digest to the staff Slack channel naming who still needs to respond. Academic ops gets a clear availability picture before the week's schedule has to be finalized.

  • Next week's schedule gets finalized without chasing teachers one by one
  • Academic ops sees exactly who is behind every Monday morning
  • Fewer last-minute scheduling gaps caused by missing availability

Good to know

Questions, answered

Does it message teachers directly outside Slack?

No. It posts one digest to the staff Slack channel and tags each teacher who still needs to respond. It does not email or text teachers on its own.

How does it know a teacher is actually behind?

It checks the live availability record in Teachworks for the coming week and only flags a teacher whose entry has not been touched in the last 7 days.

What if a teacher already gave availability outside Teachworks, like by text?

WebRun only reads what is logged in Teachworks, so an update given elsewhere will not clear the flag until someone enters it in the system.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
