Automated iCIMS Job Posting Coverage Audit

Every Monday, WebRun signs in to iCIMS, lists every open requisition with its hiring manager and age, checks which of them have a live posting on your career site and the sources you use, files a dated coverage report in Google Drive, and messages recruiting ops on WhatsApp about roles no candidate can currently see.

In short

How do I check every open role is actually posted and live?

WebRun signs in to iCIMS every Monday and matches every open requisition against the postings that are actually live on your career site and sources. It files a dated coverage report in Google Drive and messages recruiting ops on WhatsApp about roles candidates cannot currently see.

  • A role with no live posting is found in days, not weeks
  • Expired postings are separated from ones never posted
  • The weekly coverage report is filed with no manual checking

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens icims.com in a real browser with your saved login - no setup, no API keys.

  2. 1
iCIMS - match requisitions against live postings
    icims.com
WebRun in iCIMS: match requisitions against live postings
WebRun opens iCIMS to match requisitions against live postings.
    • Sign in to iCIMS and list every requisition currently open
    • Record the job title, hiring manager, location, and how long the requisition has been open
    • Check each one for a posting and read whether that posting is live, expired, or draft
    • Note which sources the posting is distributed to, including your career site
    • Flag requisitions with no posting at all and postings that have quietly expired

Done when Every open requisition is marked as visible to candidates or not.

  3. 2
Google Drive - file the coverage report
    drive.google.com
WebRun in Google Drive: file the coverage report
WebRun opens Google Drive to file the coverage report.
    • Open the recruiting reports folder in Google Drive
    • Save this week's coverage report: requisition, hiring manager, posting status, sources, days open
    • Keep the previous weeks so a role that has been invisible for a month is obvious
    • Total how many open roles are live and how many are not

Done when This week's dated coverage report is filed in Google Drive.

  4. 3
WhatsApp - flag the invisible roles
    whatsapp.com
WebRun in WhatsApp: flag the invisible roles
WebRun opens WhatsApp to flag the invisible roles.
    • Message recruiting ops the roles with no live posting, oldest requisition first
    • Name the hiring manager on each so the fix has an owner
    • Call out expired postings separately from ones that were never posted
    • Never publish or edit a posting. WebRun reports the gap and a recruiter posts the role

Done when Recruiting ops knows which roles are invisible and who owns each.

Good to know

Questions, answered

Will it post or repost a job by itself?

No. WebRun never publishes, edits, or expires a posting. It reports which open requisitions have no live posting, and a recruiter decides what goes public and when.

Does it contact candidates or hiring managers?

No. The only messages it sends are to your own recruiting ops channel on WhatsApp. Candidates and hiring managers hear from your team, not from WebRun.

How does it spot a posting that expired?

It reads the posting status against each open requisition, so a role whose posting has passed its end date shows up as expired rather than live, even though the requisition itself is still open.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
