Automated Avionte Client Contract Renewal Tracker

Every Monday, WebRun opens Avionte, identifies client accounts with contracts or master service agreements expiring within 60 days, drafts a renewal outreach email to the client decision-maker for account manager review, and posts a renewal pipeline to Slack so no contract lapses because a renewal conversation was started too late.

In short

How do I automatically track and renew expiring client contracts at a staffing agency?

Every Monday WebRun opens Avionte, finds client contracts expiring within 60 days, drafts a renewal outreach email to the decision-maker for account manager review, and posts a pipeline sorted by urgency to Slack. Contracts inside 30 days are flagged as urgent so account managers start the renewal conversation before the lapse window closes.

  • Contracts are surfaced 60 days before expiry, giving account managers time for a real renewal conversation
  • No expiring contract slips through because of a missed calendar date
  • Account managers start each Monday with a prioritized renewal email queue ready to review and send

Questions, answered

Will it send renewal emails to clients without account manager approval?

No. Every renewal outreach email is saved as a Gmail draft and left unsent until the account manager reviews and approves it. No client receives any communication without a human check.

What if a client's contract was already renewed and the record was not updated in Avionte?

If the contract end date in Avionte has not been updated to reflect a renewal, WebRun will still flag it. Keeping Avionte records current ensures accurate results, and account managers review each draft before it goes out.

Can it track bill-rate changes as part of the renewal conversation?

The current bill rate is captured from Avionte and included in the account manager's draft context, but WebRun does not propose rate changes automatically. The account manager adds rate discussion points before sending.
