How to Automate Mangomint
Mangomint automates the messages a salon can see coming. Automated Flows send rebooking reminders, pre-care and post-care notes, review requests and membership renewals, and the Virtual Waiting Room handles check-in. The work outside the calendar, on card processors, supplier portals and review sites, is still done by hand.
Mangomint runs the day one column at a time
Mangomint is business management software for salons and spas, used across hair salons, nail salons, barbershops, massage and skincare studios, med spas, laser hair removal studios and wellness centres. Booking, payments, client records, retail, staff and payroll all sit in one place.
The calendar is the business. Every column is a chair or a room, and every hour in it is either sold or gone for good, because nobody can sell yesterday's four o'clock. That single fact drives everything else. The front desk's job is to keep the columns full, and the owner's job is to notice which columns are not.
What sits underneath is quieter and just as commercial. Clients buy packages and memberships rather than single visits, so the money arrives in advance and the obligation arrives later. Treatments come in courses: a laser package is a run of sessions spaced weeks apart, and a client who drifts after the third one has paid for credits they will never use and will not be back for more.
The rebooking list gets written by hand every evening
Ask the front desk what happened at the end of a shift and the honest answer involves a notepad.
Somebody scrolls tomorrow's calendar for gaps and thinks about who might fill them. Somebody looks at who left without rebooking. Somebody works out which package credits expire this month and which memberships renew, because a client who loses credits is a client quietly annoyed with you. Somebody checks whether stock ran low on the products that actually sell.
Then there is everything living outside the software. Card payments that failed and need retrying in the processor's dashboard. Reviews on Google and Yelp waiting for a reply. Messages from people trying to book through Instagram. Product reorders on three different supplier portals. Staff hours that have to agree with what the payroll system thinks they were.
All of it happens after closing, by someone who has been on their feet since nine.
Automated Flows send the messages Mangomint can see coming
Mangomint automates more of this than most salon software, and it does it well.
Automated Flows send personalised emails and texts when something happens: rebooking reminders after an appointment, pre-care and post-care instructions for a booked service, birthday messages, review requests, welcome notes for new members and reminders before a membership expires. Discount codes can go out on a milestone. Staff are notified internally when a particular service books or a form needs approval. Campaigns and Offers handle the deliberate marketing. The Virtual Waiting Room texts clients ahead of an appointment, lets them check themselves in from a link, and shows the desk who is waiting. Memberships and Packages, Forms and Charting, Retail and Inventory, Reporting and Payroll Processing round it out, and Express Booking and Online Booking bring the appointments in.
The pattern is worth naming. Every one of those fires on an event Mangomint can itself observe, and sends a message Mangomint itself delivers.
The card processor, the supplier's ordering portal, Google, Yelp and Instagram all sit outside that circle.
An empty column filled before the doors open
Writing the after-hours list is a reading job, and every screen it needs is one the front desk already opens: the calendar, the processor's dashboard, the supplier's portal, the review sites.
Tomorrow's gaps identified overnight and matched against the clients most likely to take them: the ones who cancelled last week, the ones due for the next session in a laser course, the ones whose package credits expire this month. Each match written out as a message ready to go, not gone.
Failed card payments read from the processor's dashboard and turned into a short list of who to contact and for how much. Package balances and membership renewals reconciled so nothing expires unannounced. New reviews collected from every site the salon appears on, with a reply drafted in the salon's own voice for someone to approve. Stock checked against supplier portals so a reorder is raised before the shelf is empty rather than after.
The rule holds even in a salon, and it matters more in the med spa treatment rooms. Reading and assembling can run unattended. Anything that charges a card, writes to a client chart or sends a client a message is prepared and waits for a person to approve it. Nobody wants an automated apology going out on their behalf.
Nobody has to stay behind to run the numbers
The list can be sitting on the desk before the first client walks in, which is the only hour anyone actually has to read it.
WebRun is an AI agent that drives a real Chrome browser, signed in the way your front desk is. It opens the payment processor, the supplier portal or the review site, reads what is there, and leaves the drafts and the numbers ready.
It runs on your schedule in your own private environment, sessions are not shared between tools, and a workflow can be locked to a named list of sites. You can watch it work and stop it at any point.
The workflows below each name the screen they read and the draft they leave behind.
Questions people ask
Will a client ever be charged without us knowing?
No. Taking money is never unattended. A failed payment comes back as a list of who to contact and for how much, and retrying a card or charging a no-show fee stays a decision somebody at the salon makes.
Automated Flows already send our reminders. What is left?
Everything that starts outside Mangomint. Automated Flows react to events Mangomint can see, such as a booking or a membership renewal. This reads the card processor, the supplier portals and the review sites, then hands the result back for a person to act on.
Can it read the supplier portals we order stock from?
Yes. It signs into each supplier's site the way your manager does and reads the stock levels, prices and order status. That is the point of working in a browser: no integration has to exist first.
18 ready-made Mangomint workflows
Each one names the apps it touches and the exact steps it takes. Open one to read what it will do, then turn it on.
Want one of these running on your own Mangomint?
Show WebRun the process once and it will run it on schedule, in your own private browser environment.
