How to Automate Booqable
Booqable automates the order itself. Availability updates in real time across the webshop and the back office, system emails send confirmations and payment requests, documents number themselves, and security deposits are calculated on the order. Chasing late returns, missing insurance and payments that never reached the bank happens outside it.
Booqable is where the stock and the calendar are the same thing
Booqable is rental software for businesses that hire out physical things: party and event kit, bikes, cameras, audio and lighting, tools, bounce houses, trailers, dumpsters and boats.
Rental has a shape ordinary retail does not. The same item is sold over and over, so what you are really selling is a date. Availability is not a stock figure, it is a calendar with gaps in it, and an item out on Friday is unavailable on Friday whatever the shelf says. Every order has a beginning and an end, and the end is the part that goes wrong.
So the software has to be an inventory system and a booking calendar at once. Booqable holds the items, the reservations, the customers, the quotes and contracts, the deposits and payments, and it publishes a webshop where people book themselves.
For a company with one van and a yard, that is the whole operation, right up to the moment the kit leaves.
The kit comes back and the paperwork starts
Ask a rental owner where the day goes and it is rarely the booking. Booqable took the booking.
It is the trailer that was due back Tuesday and is not back. It is the deposit on Saturday's marquee, still unpaid on Thursday. It is the certificate of insurance a corporate customer promised and has not sent, which decides whether the kit goes out at all. It is the quote sent a fortnight ago that expires on Friday, with nobody knowing whether they already booked with the firm down the road.
Then there is the case that came back cracked, and somebody has to find what a replacement costs on the manufacturer's own site before deciding what to take off the deposit. And the card payments taken at the counter on Saturday, which have to match what the processor deposited on Monday.
Every one of those lives on a screen somewhere else, behind a login, and every one of them needs a person to go and look.
The order screen answers everything it can see
Booqable automates the order thoroughly, and a rental business that has not set this up properly should do that before adding anything on top of it.
Availability is real time, so an item booked on a date stops being bookable on that date in the webshop and the back office at once. System emails fire off actions inside Booqable, so an online reservation gets its confirmation without anybody writing one, and payment requests go out the same way. Email templates use variables that fill in the customer, the product and the order details, so a reminder or an invoice arrives already correct. Documents number themselves. Security deposits are calculated on the order rather than remembered. Payment status updates as money arrives and recurring discounts apply on their own. Barcode and QR scanning handles individual units going out and coming back, and the mobile point of sale takes a walk-in.
All of that runs on what Booqable already holds: an order, an item, a customer, a date.
None of it can open the customer's insurer, the manufacturer's parts page, the processor's payout report or a competitor's booking page. Those are the screens where the awkward half of a rental business is decided.
Overdue returns and expiring quotes surface on their own
The awkward half of a rental business is four websites and a person willing to read them.
Reservations past their return date pulled at eight, each one already carrying the contract, the deposit held and the customer's number, so the chase is a decision rather than a research task. Deposits still unpaid on jobs starting in three days, checked against what the processor shows rather than what the order claims.
Quotes about to expire, raised before they do, with a note of which ones have gone silent. Certificates of insurance matched against the bookings that require one, so nothing leaves the yard uncovered because an email was missed. Replacement costs for a damaged item looked up on the manufacturer's own page, so a deposit deduction is a figure with a source behind it.
The weekend quietly selling out on one item type, spotted on Thursday, which is a cross-hire from another company rather than a refund. Counter takings compared with the payout that actually reached the bank.
Draw the line at the customer. Checking a portal and pulling a list can run unattended quite safely. Anything telling somebody they owe a deposit or damaged your equipment should be written by the software and read by a person, because in a local rental market that message becomes a review.
The kit is the business, the admin is not
Three of those answers live on somebody else's website and none of them takes skill to find. What they take is a person opening tabs on a Monday morning and writing things down.
WebRun is an agent that works a real Chrome browser, signed in as you. It opens Booqable and whatever else the answer sits in, reads them both, and hands you the comparison with the differences named.
It runs on your schedule in your own private environment, and you can watch a run and stop it. Anything customer-facing drafts and waits.
The workflows below are already built, and each one names the sites it opens.
Questions people ask
Does this replace Booqable's own confirmation emails?
No. Booqable's system emails and templates are the right tool for anything triggered inside an order, and they cost nothing extra. This covers the screens Booqable cannot open, such as a processor, an insurer or a supplier.
Can it chase a late return without me seeing it first?
No, by design. The chaser is drafted with the order details filled in and waits for you. Telling a customer they are late is a message worth reading before it goes.
We cross-hire from other rental firms. Can it check their availability?
Yes, if you can see it in a browser. It opens the other company's booking page or trade portal signed in as you and reports what is free on the dates you need.
19 ready-made Booqable workflows
Each one names the apps it touches and the exact steps it takes. Open one to read what it will do, then turn it on.
Want one of these running on your own Booqable?
Show WebRun the process once and it will run it on schedule, in your own private browser environment.
