How to Automate Dolbey
Dolbey's Fusion platform already suggests codes, prioritises the coding queue and tracks provider queries. What it does not do is carry the numbers to people who never sign in. An agent opens it on a schedule, reads the uncoded and unbilled lists, and delivers the morning brief. WebRun handles that part.
Nothing bills until the chart is coded
Dolbey Systems makes the software a hospital's health information management department runs on: dictation, transcription, speech recognition, computer-assisted coding and clinical documentation improvement. The Fusion family covers the whole span, from Fusion Voice for enterprise dictation and Fusion Player for transcription, through Fusion Speech and Fusion Expert for back-end and front-end speech recognition, to Fusion CAC for coding.
HIM is the department nobody outside the hospital thinks about, and every dollar the hospital earns passes through it. A patient is discharged. Until the chart is complete, dictated, transcribed, signed and coded, the account cannot be billed. It sits in a category called discharged not final billed, and every day it sits there is care already delivered and not yet paid for.
Coders, transcriptionists, CDI specialists, auditors and denials staff all work in the same platform, on the same accounts, against the same clock.
DNFB is a number somebody rebuilds every morning
In every HIM department there is a morning report, and somebody makes it before seven.
It counts uncoded charts by service line and by age. It lists accounts unbilled past the escalation threshold. It shows which dictation jobs have blown their turnaround target, and which charts are suspended waiting on a physician signature, with the days left before the suspension bites. It gets made by opening screens and typing numbers into a spreadsheet.
Then the same person works out who needs telling. The coding manager wants the queue. The transcription supervisor wants the overdue jobs. The revenue cycle VP wants one line on whether unbilled days moved this week. The biller wants the suspended claims with their suspend reasons and their ages.
None of that is coding. It is describing coding to people who never sign into the system, and it happens every day, including the days the person who does it is not in the building.
Fusion CAC puts the codes on screen before the coder does
The Fusion platform is not thin, and the internal workflow is covered properly.
Fusion CAC offers engine-suggested ICD-10 and CPT codes for all patient types, hospital and professional, and it automates chart identification and workflow prioritisation, so the queue orders itself rather than being sorted by hand. Modules for Denial Management Tracking, Auditing and Clinical Documentation Integrity sit on the same platform and the same engine, so coding, CDI, quality and audit teams are not each reading the chart separately. Single Path Coding lets a coder assign facility and professional codes in one session. A shared provider query module lets any user write a query, send it and be notified when the response returns, with reports tracking query topics, response rates and turnaround.
All of that works on charts and jobs already inside Dolbey.
The coding manager's Slack channel is not inside Dolbey. Neither is the VP's inbox, the tracking sheet finance actually reads, nor the physician who has not signed. Those are where the numbers have to arrive, and the only route between them is a person retyping.
Every unbilled account carries the reason it is unbilled
A coding queue is a list with a date on every row, which makes it the easiest thing in the building to watch.
Uncoded charts counted by service line and by age every night and logged, so the digest reaching the coding manager names the service line where the backlog is growing, rather than a total that means nothing on its own.
Unbilled accounts past the escalation threshold gathered each morning, with the summary drafted for the revenue cycle VP to read and send, instead of composed at six by whoever arrived first. Dictation jobs sitting past their turnaround target checked hourly rather than daily, because a four-hour target discovered the next morning was never a target. Suspended claims collected with their suspend reason and their age, so the pattern shows itself instead of being argued about. Charts approaching their suspension deadline listed with days remaining, while a signature can still be chased.
Coder productivity and audit accuracy flags fall out of the same pass. The line that matters is this: reading and reporting run unattended, and assigning a code, releasing an account to billing or sending anything to a physician or a payer is prepared and left for the person who is accountable for it.
The 7am report can be waiting instead of written
A manager who opens the report at seven wants the queue already counted, not a note saying somebody is working on it. Assembling that report is mechanical work, and it does not need somebody in the building before six.

Questions people ask
Will it assign a code or release an account to billing?
No. It reads the queues and reports what is in them. Coding a chart, changing a code and releasing an account for billing stay with the coder and the biller, because those are the decisions the department is accountable for.
Can it tell us why an account is stuck in unbilled?
It reports what Dolbey shows: the suspend reason, the age, the service line and whether the chart is waiting on transcription, a signature or a query. That is usually enough to see the pattern. Judging what to do about it is a person's call.
Does reading the queue slow Dolbey down for our coders?
It reads the same screens a coder does, one at a time, and it can be scheduled for overnight or early morning when the system is quiet. Nothing is locked, nothing is checked out, and no worklist is reassigned.
