How to Automate Buildertrend
Buildertrend automates the chasing it can see: proposal signature reminders, bid package deadlines, purchase order approvals, invoice reminders and client portal notifications. Permits, inspections, subcontractor insurance certificates and supplier lead times sit on outside websites with their own logins, and an agent like WebRun is what checks those every morning.
Buildertrend is the only place the whole job exists at once
Buildertrend is construction project management software for residential builders, remodelers and specialty trades: the custom home builder running eleven jobs, the remodeling company, the excavation outfit that is on six sites in a week.
What it holds is the whole life of a job. The lead before it was a job. The proposal, and the selections the homeowner agonised over. The schedule, the daily logs, the change orders, the purchase orders to subs, the budget as it drifts from what was signed, the punch list, and the warranty claims that arrive eighteen months later.
It also serves two audiences at once, which is unusual. The client portal shows the homeowner progress photos, the schedule and the budget, and lets them approve selections and pay. The same job is what the site superintendent and the subs work from. Being the single version of the truth for a builder and a customer at the same time is most of the value.
Chasing paper is the job behind the job
The build is not what fills the office. Documents held by other organisations are.
The permit sits on a county or city portal with its own login, and its status changes when it changes, with no notification to anyone. Inspections are booked and their results published on that same portal, and whether Thursday's framing inspection passed decides whether Friday's crew has anything to do. Certificates of insurance come from each subcontractor's carrier or a certificate tracking site, they expire quietly, and an expired one on an active site is the kind of problem that ends a company.
Then the money paperwork. Lien waivers collected before a draw goes in. The draw package itself assembled for a construction lender's portal. Material lead times checked on a supplier's site, because the cabinets decide the whole back half of the schedule. Utility connection requests. None of it is construction, and all of it lands on the one person who is also trying to run eleven jobs.
Buildertrend chases everyone who already has a login
Buildertrend automates the chasing it can see, and a builder should turn all of it on before adding anything.
Proposals waiting on a digital signature get automatic reminders. Bid packages remind subs and vendors of the deadline by email, text or push notification, and an accepted bid converts into a contract. Purchase orders remind subs and vendors of approval deadlines and track completion and payment. Invoices alert the internal team before the due date, remind the client ahead of it, and notify the client when it goes overdue, with online payment from the email or the client portal. Daily logs, change orders, selections and the revised budget keep the job's own record current, and the time clock stamps a crew in with GPS.
Read that list again and the pattern is plain. Every reminder goes to somebody who already has a Buildertrend login: a client, a sub, a vendor, a team member. It has nothing to send to the county, and the county has nothing to send back.
Inspections and certificates can be checked before anyone drives out
One county website decides whether Tuesday's crew has anywhere to work, and it can be checked every morning.
Every open permit and inspection checked on the jurisdiction's site each morning, so a failed inspection is a note on the schedule by seven rather than a phone call from a framer standing in a yard at eight. Certificates of insurance checked for every sub with work booked in the next fortnight, with anything expiring flagged before they are on site rather than after an incident.
Supplier portals read for the lead times that actually drive the schedule: the windows, the cabinets, the trusses, with a slipped date landing against the job it will wreck. Lien waivers tracked so the draw package is complete before the lender asks for it. Plan review comments picked up the day they are posted, not the week somebody thinks to look.
The judgement stays where it is. Deciding to move a crew, approving a change order, or telling a homeowner their kitchen is four weeks late is the builder's call, and anything going to a client or a sub should be prepared and read before it is sent.
The permit portal does not need a project manager
Somebody in the office is going to open that county site. The only thing that varies is whether they do it at seven in the morning or remember it at four.
WebRun is an AI agent that works a real Chrome browser, signed in as you. It opens the permit portal, the certificate tracking site, the supplier's account area or the lender's draw system, reads what is on the screen, and puts it where the job is run from: a status against the schedule, a list of expiring certificates, a note on the daily log.
It runs on your schedule in your own private environment. You can watch a run and stop it, and anything that reaches a homeowner or a subcontractor is drafted and waits for you.
The workflows below are already built, and each one names the sites it opens.
Questions people ask
Buildertrend already sends reminders. What is left to automate?
Everything outside it. Its reminders reach clients, subs and vendors who have a login. Permits, inspections, certificate tracking sites and supplier portals belong to other organisations, and Buildertrend has no way into them.
Can it update the schedule on its own?
It can post a status, a note or a log entry where you allow it. Moving a crew, changing a client-facing date or approving a change order is left for the builder, because those decisions cost money and goodwill.
Most county portals are slow and awkward. Does that matter?
No. It works them the way a person does, clicking through the same screens and reading the result, so an old portal with no export and no API is exactly the case it is for.
