How to Automate BiT DMS

BiT is a cloud based dealer management system from BiT Dealership Software, used by marine, golf cart, powersports, RV and outdoor power equipment dealers. It is the system the whole yard runs on rather than one department's tool.

Take a golf cart and low speed vehicle dealer. The same customer buys a cart, brings it back for a controller fault in July, and leaves the cart with you from November to March. In BiT that is one record: the unit with its serial number, the repair orders against it, the parts sold, the storage contract, and every invoice attached to all of it.

The service writer taking a call can see what was done last time, what it cost, whether the unit is still in warranty and whether this customer has paid for storage. In a business where the machine outlives the sale by a decade, the record is the relationship.

Nobody finds out a part is late until the customer does

The cart is on the lift waiting for a controller. BiT knows the part was ordered. It does not know where the part is.

So somebody logs into the distributor's site, or calls and waits on hold, or tells the customer it should be any day now. A week later the same conversation happens, only now the customer is annoyed and the bay has a cart in it that cannot move.

The rest of the week fills the same way. A warranty claim went to the manufacturer three weeks ago and nobody has checked whether it was paid, short-paid or thrown out for a missing photo. A dozen storage contracts run out this month and the renewals have not gone out, because nobody pulled the list. Registrations on low speed vehicles come due at the state, and customers assume the dealer is handling it. Every one of those is a login, a search and a note, repeated until the season starts and there is no time.

BiT covers the inside of the dealership properly. Repair orders come out of estimates without rekeying, so the service workflow holds together from the first call to the invoice. Parts and unit inventory tracks what is on the shelf and what is on order, with manufacturer and distributor price files loaded so costs are current. The storage module handles the contracts and the facility layout, which for a seasonal dealer is real revenue rather than a favour. Text messaging is embedded, so the team can message customers straight from estimates, invoices and customer records. A custom report writer will build whatever view the owner wants and push it out to Excel.

The distributor's stock page, the manufacturer's warranty portal and the state's registration site are all outside. A price file tells you what a controller costs, not whether it ships this week. The warranty portal decides your claim, and it does not tell BiT what it decided. That gap is why a service writer spends the morning in other companies' websites instead of writing service.

A seasonal dealership can start its spring in February

The delay stops being news the customer delivers to you.

The distributor's page says the controller ships Friday. That can be a note on the repair order and a drafted text to the customer holding it, ready before the service writer has finished their coffee. The warranty claim rejected for a missing serial photo can surface this week, while the technician still remembers the job, instead of at a quarterly reconciliation nobody enjoys.

Seasonality is where it pays most. The storage contracts lapsing in thirty days, cross-checked against who has actually paid, becomes one list in February rather than a scramble in April. Low speed vehicle registrations coming due at the state can be a drafted reminder per customer. Last spring's service customers who have not booked this year are a winback list worth working before the phones start ringing on their own.

The same reading works on the used market your customers browse, so a trade-in is valued against what similar carts are listed at this week.

The dealer signs off on anything a customer sees
