How to Automate Employee Navigator

Employee Navigator automates benefits administration for brokers and employers. Employees elect online, new hires are onboarded, ACA reporting comes out of the same data, and enrollment reaches carriers through scheduled feeds. Confirming the carrier actually loaded the member, and chasing what employees still owe you, is where an agent like WebRun fits.

Open enrollment is one month that decides the other eleven

Employee Navigator is the benefits administration and HR platform insurance brokers run their books of business on. The broker builds the group, the employer's HR administrator works in it daily, and every employee touches it at least once a year.

It holds the things that decide who is covered: the plans and their rates, the eligibility rules, each person's elections, their dependents, the salary that drives a volume-based life benefit, their hire date and their termination date. Around that sit new hire onboarding, HR document storage, time off tracking and payroll integrations.

What makes it different from most HR software is where the mistakes land. A wrong deduction is a payroll correction. A dependent never added to a plan is a family finding out in a hospital. An employee whose enrollment never reached the carrier has a card that does not work, and they learn that at a counter.

Most of the work is waiting on a form somebody owes you

Benefits administration is not data entry. It is a queue of things other people have not done yet.

Open enrollment has a fixed window, and its last week is a broker or an HR administrator reading a completion report and calling the people who never started. New hires have an eligibility date and a window after it, and someone has to notice both approaching. A life election above the guaranteed issue amount goes out for evidence of insurability, then sits with the carrier, pending, until somebody logs in and looks.

Dependent verification documents are owed. Beneficiary designations sit blank for years. A qualifying life event has a short window from the marriage or the birth, and that clock started when the employee remembered to mention it.

Then there are the feeds. Enrollment goes out to each carrier, and the carrier's records are the ones that pay a claim. When the two disagree, nothing announces it. Somebody finds out.

Employee Navigator ends at the edge of the file it sends

There is a lot in the platform, and a broker should use it fully before adding anything around it.

Benefits administration handles the annual enrollment itself: employees compare and select plans online, new hires enroll straight out of onboarding, and an administrator can review coverage status across everyone. ACA reporting is produced from the same eligibility and enrollment data rather than rebuilt in a spreadsheet each January. Integrated payroll moves deductions instead of having them keyed twice. The carrier data exchange sends enrollment on to carriers on a schedule, most commonly as an EDI 834 file, and a marketplace of integrations covers payroll, cafeteria plans and COBRA administration.

That is a complete system for what happens inside it. The word worth holding onto is inside.

The platform sends a file. It cannot open the carrier's broker portal afterwards and confirm the member appeared, on the right plan, with the right dependents and the right effective date. It cannot read an evidence of insurability decision posted on the carrier's own site, check a COBRA administrator's portal to see a notice went out on time, or compare the payroll deduction register with what people elected.

Elected and enrolled can be made to match every week

Set the two lists beside each other every week and the gap stops being a discovery.

Every carrier site visited weekly and its member list set against the platform's, so the handful who did not make it through last month's feed become a named list instead of a phone call from an employee at a pharmacy. Pending evidence of insurability decisions checked on each carrier's site and reported by how long they have waited, because an approval nobody noticed is a coverage amount nobody activated.

During open enrollment, a completion report per group each morning naming who has not started and who started and abandoned it, ordered so the largest gaps get the first call. New hires approaching an eligibility date, and qualifying life events approaching the end of their window, both surfaced while the window is still open.

For a broker carrying a lot of groups, all of it rolls into one view of the book: which employers are behind, which have unresolved feed errors, which renewals are close and unsettled.

Nobody should find a coverage gap at the pharmacy counter

Proof that a member is really enrolled lives on the carrier's site, and checking it is nobody's job because it takes a login per carrier and most of an afternoon.

WebRun is an AI agent that works a real Chrome browser, signed in as you. It opens Employee Navigator, each carrier's broker portal, the payroll system and the COBRA administrator's site, reads what each one says, and hands back the differences: who is missing, what is pending, what is still owed.

It runs on your schedule in your own private environment, and you can watch a run and stop it. It does not enroll anyone, change an election, or message an employee on its own. Those are drafted and left for a person.

The workflows below are already built, and each one names the sites it opens.

Questions people ask

Will it change an employee's elections or enroll anyone?

No. Coverage is not something to let software decide. It reads both sides, reports the differences and drafts the follow-up, and every change to an election or an enrollment is made by a person.

We work with a dozen carriers. Does each one need an integration?

No, and that is the reason this works. It signs into each carrier's broker portal the way your account manager does, so a carrier with no feed and no API is read exactly like the rest.

Does this replace our EDI carrier feeds?

No. The feeds keep running as they are. This checks the result of them, which is the part nothing covers today: whether the member the file described actually shows up on the carrier's own records.
