How to Automate Smartsheet

Smartsheet's own workflows cover a lot: trigger, condition and action blocks that alert people, request updates, request approvals, change cell values and move rows. The price of being the place everything is tracked is that everything has to be put there.

Somebody checks a regulator's site to see whether a filing moved from submitted to accepted, then updates one cell. And then the chasing. Twelve owners have not touched their rows since the last meeting, so somebody sends twelve messages, waits, and fills the rows in on their behalf. None of that is project management. It is a person acting as a bridge between two systems that were never introduced.

Automation acts on rows that are already in the sheet

Smartsheet's own automation is genuinely good, and a team that has not built it should do that before paying for anything else.

Workflows are assembled from trigger blocks, condition blocks and action blocks. A trigger fires on a change, a date or a schedule. Conditions filter which rows qualify. Actions then do the work: alert someone, request an update, request an approval and hold until it is answered, record a date, change a cell value, assign people, lock a row, move or copy it to another sheet. An update request can go to anyone with an email address, whether or not they are shared on the sheet. Dashboards and reports roll many sheets into one view, Bridge carries the heavier integrations, and WorkApps puts a curated interface in front of people who should never see the underlying grid.

Every one of those fires on something Smartsheet can already see: a cell that changed, a date that arrived, a form that was submitted, or a system somebody connected first.

That is the ceiling, and it is a real one. A workflow can ask a human for a status. It cannot open the work order system and read the status for itself.

Rows that arrive already filled from the systems around them

The rows can be right before the meeting starts, because the systems that hold the answers were read overnight.

Yesterday's open work orders read straight out of the maintenance system and written into the backlog tab, so the figure on the dashboard is this morning's rather than last Tuesday's. A remittance posted on an administrator's portal collected as it appears and matched against the claims already in the sheet, with only the lines that disagree left for a person.

A filing whose status changed on a regulator's site updated in the deadline tracker the day it moves, not the week someone thinks to look. Purchase order balances read from the ERP, so a blanket order that is nearly exhausted surfaces before it runs out rather than after. A client deliverable tab that reflects what was genuinely delivered, checked against the system that delivered it.

One rule holds throughout. Collecting a status and writing it into a cell can run unattended, because it is transcription. An approval request, a note to a client, anything that leaves the organisation, gets drafted and waits for the person whose name is on it.

The chasing and the rekeying come off the project manager
