Automated Smartsheet Update Request Rounds

Every Monday, WebRun opens your Smartsheet, finds the rows with a due date coming up and no status change since the last round, queues an update request to each assigned contact for you to approve, opens a Trello card per outstanding owner, and sends you a WhatsApp summary of the round.

In short

How do I collect status updates from task owners without chasing each one?

Every Monday WebRun opens your Smartsheet, finds rows with a due date approaching and no recent status change, and queues an update request to each assigned contact for you to approve. It opens a Trello card per outstanding owner and sends you a WhatsApp summary, so the sheet gets refreshed by the people who own it.

  • Owners update their own rows instead of you retyping their answers
  • Requests go out before a due date slips, not after
  • Repeat non-responders are visible after two rounds, not two months

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.smartsheet.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Smartsheet - queue update requests
    smartsheet.com
WebRun in Smartsheet: queue update requests
WebRun opens Smartsheet to queue update requests.
    • Open the sheet and find rows with a due date in the next two weeks
    • Skip rows whose status or comments changed since the last round
    • Prepare an update request per remaining row, addressed to the assigned contact, and leave every request queued for your approval before it sends

Done when An update request is queued for each row that needs a fresh status.

  3. 2
Trello - track who has not replied
    trello.com
WebRun in Trello: track who has not replied
WebRun opens Trello to track who has not replied.
    • Open one card per owner with the rows waiting on them
    • Move a card to Responded once that owner's row changes in Smartsheet
    • Leave last week's unanswered cards in place so repeat non-responders stand out

Done when Every outstanding owner has a card showing what they still owe.

  4. 3
WhatsApp - send you the round summary
    whatsapp.com
WebRun in WhatsApp: send you the round summary
WebRun opens WhatsApp to send you the round summary.
    • Send yourself the count of requests queued and the owners they go to
    • List anyone who did not reply to last week's round
    • Keep it internal. Only the requests you approve leave Smartsheet

Done when You have this week's round summary in WhatsApp.

Questions, answered

Will it email my team without my approval?

No. Every update request is queued and waits for your approval before it sends. WebRun prepares the round, you release it, and only then does anything reach a row owner.

Does it edit the rows itself?

No. WebRun reads the sheet and prepares requests. The status, comments and dates are only ever changed by the owner replying to their own request.

What about rows someone already updated?

They are skipped. WebRun compares each row against the last round, so anyone who updated during the week is not asked again.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
