Automated Smartsheet Overdue Task Chasing

Every morning, WebRun opens Smartsheet, finds the rows that are past their due date and still incomplete, groups them by assigned owner into a Google Sheets chase list, and leaves a polite Gmail draft for each owner so you can review and send in one pass.

In short

How do I automatically chase overdue tasks in Smartsheet?

WebRun chases your late Smartsheet work every morning. It opens Smartsheet, finds incomplete rows past their due date, groups them by owner into a Google Sheets chase list sorted by lateness, and leaves one polite Gmail draft per owner, so you approve and send in a single pass.

  • Late tasks are visible every morning instead of at the next status meeting
  • Each owner gets one consolidated nudge rather than scattered pings
  • The Google Sheets history shows which owners and sheets slip most often

Step by step

What does WebRun do on every run?

  1. WebRun signs in and gets to work

Opens app.smartsheet.com in a real browser with your saved login - no setup, no API keys.

    • Open Smartsheet and go through the sheets you have listed as active projects
    • Find every row whose due date has passed and whose status is not Complete
    • Capture the task name, sheet, owner, due date, and days overdue
    • Skip rows marked blocked or on hold so owners are not chased for something outside their control

Done when Every incomplete row past its due date is captured with its owner and days overdue.

    • Open Gmail and create one draft per owner listing their overdue tasks
    • Keep the tone short and helpful, with the task name, sheet, and due date for each
    • Leave every message in Drafts. WebRun never sends the nudge itself
    • Send yourself a one-line summary of how many drafts are waiting

Done when One reviewable Gmail draft per owner is waiting in your Drafts folder.

Questions, answered

Will it email my team without me?

No. Every nudge is left in Gmail Drafts for you to read, edit, and send. WebRun writes the message and stops there, so nobody on your team hears from it until you press send.

Does it change anything in Smartsheet?

Nothing. WebRun reads rows, dates, statuses, and owners only. It never edits a cell, moves a due date, or changes a status, so the sheet stays exactly as your team left it.

What about tasks that are blocked rather than late?

They are left off the chase list. WebRun skips rows marked blocked or on hold so owners are only nudged about work they can actually move forward today.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
