How to Automate RepairShopr

RepairShopr's Open Invoice Reminders email overdue customers by invoice age every morning, Marketr sends follow-ups at 14 and 90 days, and customers approve estimates from a link. For an estimate nobody has answered, an AI agent such as WebRun drafts the nudge a day after it goes out, for the front desk to send.

A RepairShopr ticket starts with the intake form the customer signs

Syncro Technologies makes RepairShopr for computer and cell phone repair shops and for IT consultants, alongside Syncro, its platform for managed service providers. The trades on its list run on to watch and musical instrument repair and even lawn service.

A ticket starts with an intake form the customer signs, then gathers the technician's notes and a job timer, and its charges convert to an invoice with a single click. A wizard on the shop's website can ask customers about the problem before they arrive. Customers approve estimates from an email link and follow their jobs and payment history in a web portal, and business clients can be billed on recurring invoices.

Behind the counter, inventory tracks stock levels with reorder reminders, each parts order shows its status from order date to delivery, and RMAs go back to the supplier. A dashboard designed for a large TV on the shop wall shows the ticket queue to the bench.

A laptop estimate sits unanswered while the machine takes up a bench

A business client's laptop comes in with a failing SSD, and the estimate goes out by email that afternoon. Some estimates come back approved within the hour. This one sits, neither approved nor declined, and the laptop waits on the bench shelf with its case open.

On Monday the owner goes through the unpaid invoices, the oldest balances from business clients first, and decides who gets a call. The parts shelf is down to two SSDs and one battery for the model that comes in most often, and the order to the supplier waits for a quiet hour.

Before the week starts, the owner also wants last week's revenue, invoices paid, average invoice value and the tickets still open.

Estimates nudged after a day Estimates pending 24 hours or more get a short follow-up naming the device and the price, drafted for the front desk, with the longest-waiting first in Slack.
A Monday chase list for overdue invoices Unpaid invoices past their due date get a reminder drafted in Gmail, and the list reaches Slack largest balance first, with anything over 30 days flagged.
Purchase orders for parts running low Parts down to their reorder level grouped into one draft purchase order per supplier, with anything already out of stock marked urgent in Slack.

Open Invoice Reminders email overdue customers at 8:00 Pacific every morning

Open Invoice Reminders email customers on a schedule the shop sets by invoice age, once when an invoice reaches a given age, or every month while it stays overdue, with the invoice attached as a PDF, and they run daily at 8:00 am Pacific.

Marketr sends follow-ups 14 and 90 days after a repair and reminders when antivirus or a warranty is up for renewal. Inventory raises reorder reminders when stock runs low. When a customer approves or declines an estimate in the portal, staff get a notification, and Auto Expire declines estimates left open past the number of days the shop chooses. Every plan carries the same features, from Starter with one user to Repair Shop and Big Chain with ten.

Between an estimate going out and Auto Expire declining it, the reminder to a customer who has not answered is the front desk's to write, by email or by phone.

The front desk follows up every estimate still pending after 24 hours

In Slack, the front desk sees every pending estimate with the customer, the amount and the days waiting, longest first, with the customers who never replied marked. For each estimate more than a day old, Gmail drafts hold a two-line follow-up naming the device and the price and offering to answer questions, which the front desk edits before sending.

On Monday the owner works from a chase list of unpaid invoices past their due date, largest balance first, each with a polite reminder in drafts citing the invoice number and the amount. Invoices over 30 days carry a line about the shop's payment policy and a flag for a payment-plan conversation.

Whoever does the buying gets one draft purchase order per supplier for the parts at or below their reorder level, with part names, SKUs and quantities listed, and anything already at zero marked urgent in Slack.

The Monday sales report puts last week's revenue, invoices paid, average invoice value and unpaid balance in Slack, beside the tickets opened, completed and still open, and points out any large swing against the previous week.

Open Invoice Reminders and reorder reminders already cover two of these cards

The Repair Shop and Big Chain plans come with ten users, enough to set one aside. WebRun is an AI agent that works a real Chrome browser. RepairShopr's spare user becomes its login; on Starter, which has a single user, it signs in as the owner. It reads RepairShopr and writes nothing there: every email it prepares is a Gmail draft that the front desk or the owner sends.

Open Invoice Reminders already email overdue customers and the reorder reminders already flag low stock, so the invoice card and the two reorder cards, which duplicate each other, add a draft and a Slack list rather than a new job. The estimate follow-up fills the gap between an estimate going out and Auto Expire declining it.

Questions people ask

What if a customer approves the estimate by phone?

The front desk records the approval in RepairShopr as usual, and the estimate drops off the next morning's list, since the card reads only estimates still pending.

Can the sales report split revenue by repair type?

Yes, where your RepairShopr invoices carry a repair category, such as phone screen, battery, computer or data recovery. Without categories, the report gives last week's totals and ticket counts only.

Where does the reorder card get each part's supplier?

From the preferred supplier on each part in RepairShopr's inventory. Parts from the same supplier go into one draft purchase order, with the quantities to reorder.
