How to Automate Ocuco Innovations
Innovations automates the inside of the lab: the Workflow Monitor tracks every job, the Production Scheduler plans capacity, a Rules Engine checks incoming orders and Lablink brings work in electronically. Courier tracking, supplier stock and coating warranties sit on other companies' sites, and an agent such as WebRun reads those.
A pair of lenses is a job that crosses the whole building
Innovations, now in its third version, is Ocuco's management system for the optical labs that actually make the lenses.
A lab is not a shop. An order arrives from an eyecare practice with a prescription on it, and what leaves the building days later is a physical object that had to be cut, ground, coated, edged, mounted and checked. Innovations is built for that shape of work: labs doing freeform and conventional surfacing as well as edging, running wholesale for hundreds of practice accounts and retail for their own.
So the system holds a job from the moment the prescription lands to the moment the tray is boxed. The Rx and its measurements, the lens chosen out of a master database that tracks the industry's catalogue, the price and the account it goes against, the stage the tray has reached, the blanks and frames it will consume, and the invoice at the end.
The lab's afternoon goes on answering where a job is
Every lab has somebody whose day is broken up by the same question arriving from a different practice each time.
A job shipped on Tuesday and the account wants a tracking number, so somebody opens the courier's website and reads it off. A blank never arrived from the supplier, so somebody signs into the supplier's portal to find out whether it ever shipped. A rush job promised for Thursday is sitting in surfacing and nobody has looked at the queue since morning. A practice sends a pair back as a poor fit, and working out whether it falls inside the coating warranty means finding the original job date and then the terms that applied to it.
None of that is lab work. It is browser work, done by people hired for something else, and it grows in exact proportion to how many accounts the lab serves.

Inside the building, Innovations covers this well, and a lab not using the modules it licenses is doing by hand what it has paid for.
The Workflow Monitor shows where every job is. The Production Scheduler plans the day against capacity. A Rules Engine applies the lab's own logic to incoming orders, so the checks a supervisor would make on an Rx happen without a supervisor. Lablink and electronic ordering bring jobs in from practices without anyone retyping them, the master lens database keeps the catalogue current, and inventory management, pricing and accounts receivable, and surfacing calculations with their machine links tie the office to the shop floor.
All of it is genuine, and all of it is about the inside of the lab.
The moment a job leaves, or a part has not yet arrived, Innovations is looking at its own record rather than at the world. The courier holds the delivery status. The lens supplier holds whether the blank shipped and when. The practice that placed the order holds the patient who is ringing them about it. Those are other companies' websites, and not one of them reports back.
The late job is known before the practice rings about it
The lab already knows its own floor. Watch the outside of a job as closely and it stops hearing about problems from its customers.
The surfacing queue checked every hour against your targets, so a bottleneck is a message to a lab lead at eleven rather than a pile of late jobs at five. Rush work compared against its promised time, with anything slipping named while there is still a shift left to fix it in.
Finished jobs matched to their shipments on the courier's site, so the practice gets a shipped notice with a tracking number on it and nobody assembles one. Blanks and frames below their reorder point checked against the supplier's live stock page before a purchase order is drafted. Remake requests read against the original job date and the coating warranty, so the ones the lab owes are separated from the ones it does not.
And for each account, the open backlog written up as a short summary an account manager can send: what is in progress, what shipped, what is late and why.
The pattern holds throughout. Watching, reading and comparing run unattended. Anything that goes to a customer, changes a job or commits money is drafted and waits for a person.
Lenses are the work, phone calls are not
A lab is measured on how many good jobs go out of the door, and none of that phoning round puts a lens in a tray.

Questions people ask
Can it update a job status inside Innovations by itself?
Not by default. Reading, comparing and drafting run unattended. Anything that changes a job, emails a customer or commits a purchase order is prepared and left for someone in the lab to approve first.
Our blank supplier publishes nothing we can connect to. Is that a dead end?
It is the reason to use it. WebRun reads the supplier's website the way your buyer does, in a browser signed in with your own account, so a portal with no interface at all is worked exactly like one that has.
Will our accounts get emails we have not seen?
Not unless you decide otherwise. Status updates, shipped notices and backlog summaries are drafted against the real job data and held for an account manager, so what reaches a practice has been read by someone at the lab first.
