How to Automate IDS Astra
IDS Astra automates the dealership's own floor. Astra G2 ties accounting, service, sales, parts and CRM together, with Service360 and SalesCRM Online over the top. Manufacturer warranty portals, recall lookups, floorplan lenders and state title systems stay outside it, and an agent like WebRun opens those each morning.
Astra is where the lot, the deal and the service bay meet
IDS Astra is a dealership management system for recreation dealers: RV, marine and trailer. IDS has been at it since 1984, when it was called RVSoft, and the current platform is Astra G2, which connects accounting, service, sales, parts and CRM in one system.
The unit is what everything hangs from. A travel trailer or a boat arrives on the lot on floorplan finance, which means the dealership pays interest on it every day it sits there. It gets a VIN or a hull number, a stock number, prep work, and eventually a deal: the trade-in, the finance, the F and I products, the paperwork. Then it becomes a customer with a warranty, and that customer comes back for service for the next ten seasons.
A dealership that loses track of any one of those loses money in a way that only shows up in the accounts a quarter later.
Every claim, recall and payoff lives on another company's login
The back office of a dealership is a rota of other companies' websites.
Warranty claims go into the manufacturer's own portal, one at a time, and their status changes there. A claim gets rejected over a labour code or a missing photograph, and nobody finds out until somebody looks. Open recalls have to be checked against a VIN before a unit is delivered, and that lookup is on the manufacturer's site.
The money side is the same. Floorplan curtailments and payoff quotes come from the floorplan lender's portal. A finance application goes to a lender and its status lives there. A trade-in payoff has to be got from the customer's existing lienholder. Parts availability and backorder dates sit on each manufacturer's parts system, and there are several.
Then registration and title work, on a state system with its own login and its own queue. None of that is selling anything or fixing anything.
Service360 was built for the work that reaches the bay
IDS automates the dealership's own floor thoroughly, and it is worth turning all of that on first.
Astra G2 is the spine, tying accounting, service, sales, parts and CRM together so a work order, a parts issue and a ledger entry are one chain, not three. Service360 is the service side, with ServiceCRM, Service Mobile for technicians, eSignatures, Digital Payments and Parts Request Online, aimed at cutting the time a unit sits waiting. SalesCRM Online handles leads and sales follow-up for RV, marine and trailer dealerships. Leadership Insights gives management the numbers and, unusually, benchmarks a dealer's sales and service performance against regional and national averages. Cloud Essentials sits underneath, eSign covers the signature on a deal without anybody printing it, and Integrated Payments takes the money. There is VIN decoding too, and a Forest River open recalls feed.
Every one of those runs on what the dealership itself does, or on data a partner pushes in.
The manufacturer portal holding the warranty claim, the floorplan lender holding the curtailment and the state holding the title are all outside, and outside is where the delay is.
Recalls and payoffs can be checked before the customer asks
Put those portals on a schedule and a dealership stops learning about its own money at month end.
Every submitted warranty claim checked on the manufacturer's portal, so a rejection is a task on Tuesday rather than an ageing receivable somebody notices at month end. Open recalls looked up by VIN or hull number for every unit going out this week, before it goes out, because a recall found after delivery is a customer coming back angry. Floorplan curtailments and payoff quotes read from the lender's portal and set against the units still on the lot, so the aged inventory list is real.
The customer-facing ones count as much. Finance application status pulled from each lender, so the salesperson knows before the customer rings to ask. Trade-in payoff figures chased from lienholders. Parts backorder dates read from the manufacturers' systems and landed against the work order waiting on them, so a service writer can tell somebody the truth about when their boat will be ready. Registration and title work followed on the state's own system, so a customer chasing their plates gets a real date rather than a shrug.
Deciding what to promise a customer is still the dealership's call.
The manufacturer's portal opens the same way every morning
Somebody in that office signs into the same four portals every day and reads the same screens. It is not a skilled job. It is just one that cannot be skipped.
WebRun is an AI agent that works a real Chrome browser, signed in as you. It opens the manufacturer's warranty system, the recall lookup, the floorplan lender, the parts portal or the state title site, reads what is on the screen, and puts the answer where the dealership works: a claim status, a flagged VIN, a backorder date against a work order.
It runs on your schedule, limited to the sites you allow, and anything that reaches a customer is drafted and waits for a person.
The workflows below are already built, and each one names the sites it opens.
Questions people ask
Can it submit warranty claims to the manufacturer for us?
Checking status runs unattended, and submitting does not by default. A warranty claim is a request for payment with your dealer code on it, so it prepares what goes out and reports what came back, and someone in the service office sends it.
We have the Forest River recalls feed already. Does this duplicate it?
No, it fills in around it. Where a manufacturer pushes data into Astra, use that feed. The other brands on your lot publish recalls and warranty status only on their own websites, and those are the lookups still being done one VIN at a time.
Will it change anything in Astra without us knowing?
It writes only what you allow it to write, and the default is a note or a status against the record it relates to. Deals, invoices and ledger entries are left alone. You can watch a run and stop it at any point.
