How to Automate GoFrugal

GoFrugal runs the shop floor and the godown from one file

GoFrugal is billing and ERP software out of India, sold in three shapes: RetailEasy for shops and supermarket chains, ServeEasy for restaurants, and a distribution system for stockists, wholesalers and dealers. A single supermarket, a six-branch pharmacy chain and an FMCG distributor with a godown can all be running it.

What lives inside is the whole trading position: every bill raised, every item with its batch and expiry, what each outlet holds, what each supplier is owed, what each credit customer owes back, and the day's collections.

The people are an owner checking numbers on WhatsNow from the back of a car, a purchase manager, a store manager per branch, and a billing operator who needs the software to keep up at five in the evening.

At this size it is not one system among several. It is the business.

Buying is done on a rate card that changed last week

The system knows what sold. It does not know what any of it will cost to replace.

So the purchase manager opens the distributor's portal, or the email carrying this month's scheme, and goes line by line: today's rate against the last purchase rate, hunting the two items that moved. A rate that rises quietly while the shelf price does not follow it is a month of margin, gone without anyone noticing.

Then the goods arrive and somebody counts them against the purchase order. Short by three cases, one line billed at a different rate, two cartons damaged. Each of those is a credit note somebody has to ask for, and asking is easy on the day and harder every day after.

Then collections. The retailer with three bills past sixty days gets a call if anybody remembers.

None of it is complicated. All of it is a person, a browser and most of a morning.

Short deliveries claimed the same day Goods receipts read against their purchase order, so a short case, an off-rate line or damaged stock becomes a claim while it is still fresh.

Expiry valued before it is a write-off Batches inside their expiry window listed with the money at risk and the branch holding them, ready for a clearance decision.

Overdue retailers ranked, not remembered Credit customers past their limit or their due date pulled into one chase list, each reminder drafted for a person to send.

Purchase and Reorder works from demand you have already had

GoFrugal covers a great deal of this already, and it deserves to be exhausted before anyone looks elsewhere.

Billing is what people buy it for, with GoBill putting the same counter on a phone so a queue can be cleared from the aisle. Purchase and Reorder builds procurement out of demand the system has already recorded, and warehouse and supply chain management move stock between outlets and replenish them centrally. Inventory carries batch and expiry, which is what makes it usable in a pharmacy and in food. Integrated accounting runs through to GST returns and financial statements without a second package. A set of add-ons reach outward from there: OrderEasy for a shop's own ordering app, WhatsNow for reports on a phone, GoSecure for backup, and an ONDC network integration for orders arriving from outside.

That is a lot of ground for one system to hold.

All of it works from what GoFrugal was told. The rate a distributor published this week, an ONDC order waiting in somebody else's dashboard, and the bank line saying a cheque bounced sit on other people's screens, behind logins that belong to you.

A goods receipt can be argued while the van is still there

The morning can open on decisions instead of on a browser. Those logins can all be worked through before the shutter goes up.

Today's rate at each distributor set against the last purchase rate in GoFrugal, so two changed lines are all anybody has to read, and the shelf price follows in the same week rather than the next quarter.

The goods receipt read against its purchase order line by line, so a short case, an off-rate line or a damaged carton becomes a claim on the day it arrived, while the delivery is still at the door.

Then the ones that quietly cost money. ONDC orders sitting past their action deadline, pulled off the network's own screens before a penalty lands. Batches inside their expiry window, valued, with a clearance list against the branch holding them. Credit customers past their limit and past their due date, ranked, with the reminder written and waiting for someone to send. Stock dead in one outlet and short in another, matched into a transfer list.

And for a chain, the same check on every branch rather than the one the owner happened to walk into.

Nobody needs a developer to read a rate card

Each of those is a page on a screen and a login the business already has. The work is opening it and writing it down next to your own numbers.
