Automated SmartDraw Diagram Gap Checking
Every Monday, WebRun opens SmartDraw, checks which process, org chart, and floor plan diagrams currently exist and when each was last updated, checks the Trello checklist of diagrams the operations team requires on file, flags anything missing or not updated in the last quarter, and messages the ops lead a WhatsApp status update, so documentation gaps get caught before an audit finds them first.
How do I know if my SmartDraw diagram library is missing anything required?
WebRun checks the SmartDraw diagram library every Monday against a Trello checklist of required process and org diagrams, flags anything missing or not updated in the last quarter, and messages the ops lead a WhatsApp status update. Documentation gaps get caught on a schedule instead of surfacing during an audit.
- Missing required diagrams get caught weekly, not during an audit
- Outdated diagrams get flagged before they mislead someone
- The ops lead gets one WhatsApp status instead of auditing by hand
Built for operations teams · compliance teams · IT documentation teams · facilities managers

Questions, answered
Does it create the missing diagrams itself?
No. WebRun only flags which required diagrams are missing or outdated. Creating or updating them stays a manual task inside SmartDraw.
How is the required diagram list decided?
It comes from the Trello checklist your operations team maintains. WebRun only checks SmartDraw against whatever that checklist currently says is required.
What counts as outdated?
Any existing diagram not updated in the last quarter. It still counts as present, just flagged for a refresh.
