Automated Miro Stale Board Cleanup

Every Monday, WebRun opens Miro, walks your team spaces to find boards nobody has edited in weeks, records each board's owner and last-modified date, posts the tidy-up list to your Microsoft Teams channel, and sends each owner a short WhatsApp nudge asking whether to archive it.

In short

How do I find and clean up abandoned Miro boards?

WebRun reviews your Miro team spaces every Monday and finds the boards nobody has edited in weeks. It records each board's owner and last-modified date, posts the tidy-up list to Microsoft Teams, and sends each owner a WhatsApp nudge asking whether to keep, archive, or hand the board over.

  • Abandoned boards get an archive-or-keep decision instead of piling up
  • Owners are asked directly rather than the list going ignored in a channel
  • Boards still shared externally are surfaced before they leak old thinking

Step by step

What does WebRun do on every run?

  1. WebRun signs in and gets to work

Opens miro.com/login in a real browser with your saved login - no setup, no API keys.

    • Sign into Miro and open each team space you track
    • Sort boards by last modified and capture every board untouched for longer than your cutoff
    • Record the board name, owner, last-modified date, and which project it belongs to
    • Note whether the board is still shared with people outside your team
    • Skip boards already marked as templates or reference material

Done when Every stale board is listed with its owner and last-modified date.

    • Sort oldest first and show the owner beside each board
    • Highlight any stale board still shared externally, since those are the ones worth closing
    • Include last week's list so the team can see what got resolved

Done when The tidy-up list for the week is posted in Microsoft Teams.

  4. 3
WhatsApp - nudge each board owner
    whatsapp.com
WebRun in WhatsApp: nudge each board owner
WebRun opens WhatsApp to nudge each board owner.
    • Send each internal owner a short WhatsApp message listing their own stale boards
    • Ask a single question: keep, archive, or hand over
    • Keep messages to teammates only. Never message a client or external collaborator
    • Never archive or delete a board. WebRun only asks, and the owner decides

Done when Every owner has been asked about their own stale boards.

Questions, answered

Will it archive or delete boards on its own?

Never. WebRun only lists stale boards and asks the owner what to do. Archiving, deleting, and changing sharing settings all stay manual, so no work is lost to an automated sweep.

Does it message people outside my team?

No. WhatsApp nudges go to internal owners only. Clients and external collaborators on a shared board are never contacted, even when the board is theirs to close.

What counts as stale?

Any board with no edits for longer than the cutoff you set, commonly six or eight weeks. Boards you mark as templates or reference material are skipped so evergreen assets never show up on the list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
