In short

How do I warn my support team before a scheduled maintenance window?

Every morning WebRun opens Instatus, reads the maintenance windows scheduled ahead, and works out which components each one touches and how long until it starts. It builds a Trello prep card for the window and sends support and on call staff a WhatsApp heads-up, so nobody is surprised by the tickets.

  • Support sees a maintenance window a day before it opens
  • Every window arrives with a prep card and a checklist
  • Nothing is published to customers without a person deciding

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens instatus.com in a real browser with your saved login - no setup, no API keys.

  2. 1
    Instatus - read upcoming maintenance
    instatus.com

    • Open Instatus and read the scheduled maintenance on your status page
    • Capture the start time, the expected duration, and the components each window affects
    • Work out how many hours remain until each window opens
    • Note whether subscribers have already been notified for that window

Done when Every upcoming maintenance window is listed with its components, start time, and hours remaining.

  3. 2
Trello - build the prep card
    trello.com
WebRun in Trello: build the prep card

    • Create one prep card per maintenance window on your support board
    • Put the components affected, the start time, and the expected duration on the card
    • Add the checklist your team works through before a window: cover, canned replies, and who is on call
    • Move cards for windows that have already finished to done

Done when Each upcoming window has a prep card with its components and its checklist.

  4. 3
WhatsApp - warn support before it starts

    • Message the support and on call group the windows opening in the next 24 hours
    • Lead with the start time and the components customers will notice
    • Link the prep card. WebRun never publishes to the status page or notifies your subscribers

Done when Support and on call staff know what is coming and which components it touches.

Questions, answered

Will it publish anything to my status page?

No. WebRun only reads the maintenance you have already scheduled in Instatus. Publishing an update or notifying subscribers stays with your team, so nothing customer-facing goes out on its own.

How far ahead does it warn the team?

The WhatsApp message covers windows opening in the next 24 hours, and the Trello prep card is created as soon as the window appears on the schedule.

What if a window is rescheduled or cancelled?

The next morning run reads live schedule data in Instatus, so a moved window updates its prep card and a cancelled one stops being announced to the team.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
