Automatic Excalidraw Whiteboard Backups
Every night, WebRun opens Excalidraw, exports each drawing worked on that day as an image, collects the shareable links and any saved libraries, drafts a dated archive email in Gmail, and posts the team a WhatsApp confirmation of what was saved.
How do I automatically back up my Excalidraw whiteboards?
WebRun backs up your Excalidraw boards every night. It exports each drawing worked on that day as an image, records the shareable links and libraries used, drafts a dated archive email in Gmail for you to send, and posts the team a WhatsApp confirmation of what was saved.
- Last night's boards live outside the browser cache
- A cleared cache or closed tab no longer costs a whiteboard
- Each archive is dated and searchable by board name

1
Excalidraw - export the day's boards
WebRun opens Excalidraw to export the day's boards. - Open Excalidraw and go through the canvases worked on today
- Export each drawing as an image at full canvas size
- Record the shareable link for each board so it can be reopened
- Note any custom library used, so the shapes are archived alongside the board
- Never clear a canvas or delete a drawing. WebRun only exports copies
Done when Every board touched today has an exported image and a recorded link.
-
2
Gmail - draft the dated archive email
WebRun opens Gmail to draft the dated archive email. - Draft a dated archive email with the exported images attached
- List each board by name with its shareable link in the body
- Subject line carries the date so the archive is searchable later
- Leave the email in Drafts for you to review and send. WebRun never sends it on its own
Done when A dated archive email with today's board exports is waiting in Drafts.
-
3
WhatsApp - confirm what was saved
WebRun opens WhatsApp to confirm what was saved. - Post the team a short WhatsApp note listing the boards saved tonight
- Include the count and the board names so anyone can spot a missing one
- Flag any board that could not be exported so a human can check it
Done when The team can see tonight's archive was taken and what it covered.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Does it change or clear my boards?
No. WebRun only exports copies of each drawing. It never clears a canvas, deletes a board, or edits a shape, so the original stays exactly as your team left it.
Does it email the archive on its own?
No. The archive email is left in your Gmail drafts for you to review and send. Only the internal WhatsApp confirmation posts automatically, because that stays inside your team.
What if a board was not touched today?
It is skipped, so the archive stays small and dated. Boards worked on today are the ones at risk from a cleared cache or a closed tab, and those are the ones exported.
Put this on autopilot.
Turn it on in minutes - or have our team set it up for you.
