How to Automate Tally Solutions

TallyPrime automates much of the compliance itself. Connected services generate e-invoices through the IRP and e-way bills through the portal, bank statements import and reconcile against your entries, and ledgers and reminders go out over WhatsApp in bulk. Confirming any of it against outside portals is what an agent like WebRun does.

Every transaction in the business ends up as a voucher

Tally Solutions makes business management software out of Bengaluru, and TallyPrime, which replaced Tally.ERP 9, is what most Indian small and medium businesses mean when they say Tally. A distributor with four godowns, a small manufacturer, a trader, a chartered accountant carrying twenty client companies on one machine: all the same software.

What sits inside a company file is everything. Sales and purchase vouchers, receipts and payments, the ledgers behind them, stock item by item and godown by godown, bill-wise details of what every party owes, payroll, and the GST position built out of all of it.

It usually runs on a desktop in the office rather than a browser tab, and that is part of why it stays. The data belongs to the business, sits on its own machine, and opens in a second.

For most of these companies Tally is not one system among several. It is the accounts.

The ledgers are current and the outside world is not

Everything inside Tally is up to date by the end of the day. Everything the business depends on outside it is not.

Payments arrive by NEFT and UPI and land in a bank account, so somebody opens net banking, reads the credits, and works out which bill each one settles. A cheque has to be followed to whether it cleared.

Suppliers file their GST returns on their own schedule, and input credit you cannot see is credit you do not get, so somebody opens the portal before the return is due and compares what appeared against the purchase vouchers already entered.

An e-way bill has a validity window, and a consignment sitting past it is a problem found at a checkpoint rather than at a desk.

Then the ordinary things. The distributor's rate this week against last week's. Which customers are past sixty days. Whether a reorder level that fired is worth acting on, given what the wholesaler actually has.

The tallysolutions.com homepage, the app these three jobs run in. Tally Solutions
E-way bills counted before they expire Every open consignment on the portal listed with the validity it has left, so nothing runs out of time while it is still on the road.
Credits matched to bills, not guessed Yesterday's bank receipts read against the bill-wise outstanding in Tally, so a payment that never came is named the next morning.
Rates compared before the order goes This week's price on the distributor's site put beside the purchase rate Tally last recorded, so a rate that crept up is marked instead of paid.

Connected Services reach the portals Tally already talks to

TallyPrime automates more of this than most offices have switched on, and the connected features are worth exhausting first.

E-invoicing runs through a direct integration with the IRP: invoice data is uploaded, authenticated and returned with the IRN and QR code printed on the document, without anyone opening a portal. E-way bills work the same way, generated against the e-way portal from the invoice itself. Bank statements can be imported and reconciled, with matching entries cleared automatically rather than ticked one at a time. Receivables reports show bill-wise outstanding by age, and reminder letters, ledgers and invoices can be sent in bulk over WhatsApp from inside TallyPrime. Inventory carries reorder levels, stock ageing and movement analysis.

That is a serious amount of compliance handled by the software, and it is worth saying plainly.

What all of it has in common is that Tally is either acting on its own vouchers or talking to a portal it was built to talk to. A supplier's filing status, the distributor's price page, the marketplace listing and most of the bank's own website are none of those. They are screens with a login and no connector.

Every voucher has a fact outside Tally that confirms it

By the time the office opens, the confirming can already be done and sitting on one list.

Yesterday's bank credits read and set against the bill-wise outstanding in Tally, so a payment that was promised and never came is a phone call on Tuesday rather than a surprise at month end.

What suppliers have actually filed against your GSTIN checked against the purchase vouchers already entered, with the missing ones named and chased before the return is filed.

Every e-way bill still open on the portal listed with how long it has left, so a consignment about to run out of validity is a message to the driver, not a penalty.

The buying side reads the same way. This week's rate on the distributor's site against the last purchase price in Tally, so two rupees a case on a high-volume line gets queried instead of quietly absorbed. Stock at reorder level checked against what the wholesaler actually has, because ordering something nobody can ship costs a week.

And the trial balance itself, read after close, with anything unexpected flagged before the auditor finds it.

Those confirmations do not need an accountant's time

Each one is a login the business already has and half a morning it would rather spend elsewhere. The opening and the comparing is the whole job.

WebRun is an AI agent that works a real Chrome browser, signed in as you. It opens the bank, the GST portal, the e-way portal or a distributor's site, reads what each one shows, sets it against what Tally recorded, and hands back one short list: what did not match, what is missing, what expires this week.

It runs on your schedule in your own private environment, and any run can be watched and stopped. Reminders to customers are drafted for you, and nothing is filed with any portal on its own.

The workflows below are already built, and each one names what it opens.

Questions people ask

Our TallyPrime sits on a desktop with no cloud access. Is this still useful?

Yes, because most of the value is outside it anyway. The screens being read are the ones with a web login: net banking, the GST portal, the e-way portal and supplier sites. Where TallyPrime is reachable through Cloud Access it is read there too, and where it is not, the comparison is handed to you.

Will it generate an e-way bill or upload an invoice for us?

No, and it does not need to. TallyPrime already generates e-invoices and e-way bills through its own connected services. The agent reads status, validity and what is missing. Anything filed with a government portal stays with the person responsible for that filing.

Could it change a voucher by mistake?

It is not given the ability to. Workflows read Tally and write their findings somewhere else, into a message or a sheet, which is where the value sits anyway. Anything that would create or edit a voucher is drafted for approval, and every run can be watched live and stopped.
