How to Automate foreUP

Golfers hear from foreUP itself: a confirmation, a reminder text if they opted in, and automated no-show, birthday and anniversary messages. For the shop's own follow-through, such as offers to the waitlist, tournament fill rates, review requests and Monday's rounds and revenue in Slack, an AI agent such as WebRun reads foreUP and drafts every golfer email in Gmail.

The foreUP tee sheet sets the pace of a public course's day

The tee sheet is the most-watched screen at a daily-fee golf course, and at many of them it is foreUP: cloud-based golf course management software built around that tee sheet, with a point of sale, food and beverage, billing, marketing, tournaments and course maintenance attached. foreUP is part of Xplor Technologies, which closed its merger with Clubessential Holdings in March 2026 and kept the foreUP name. Public, municipal and private courses run it, Bethpage State Park among them.

Golfers book online, often prepaying with a saved card, gift card or rain check, and get an automated confirmation. At the counter, the green fee and a burger from the grill ring up in the same system. Tournaments run through foreUP Tournament Management, powered by BlueGolf, and the superintendent tracks labor and equipment in TaskTracker.

A Friday-night cancellation leaves an 8:10 open on Saturday

A foursome cancels Saturday's 8:10 on Friday night. Golfers on the waitlist asked to hear if anything opened before nine, and the head pro writes to them one at a time before the first group checks in.

Yesterday's 9:20 never showed. The course has a no-show policy and a card on file, but the golfers are regulars, and the head pro would rather invite them back than lose them to the course across town.

The events coordinator checks the charity scramble on the 14th every morning: 30 of 36 teams in, and the member-guest still short of its target. In the evening the shop wants to ask the day's golfers for a review, and on Monday the general manager wants last week's rounds and revenue by category before the staff meeting.

foreUP texts reminders and follows up no-shows on its own

Every online booking gets an automated confirmation, and with the Marketing module and a verified texting number, golfers who have opted in receive a reminder text 24 hours before their tee time. The shop can text the whole tee sheet at once and hold two-way conversations, and Email & Text Marketing sends automated messages for birthdays, anniversaries and no-shows.

For the fee itself, a course can require a card for online bookings, and whoever opens the tee time charges it with Charge No Show. Business Intelligence adds AI-powered dashboards for tee times, revenue and the weather's effect on rounds, alerts when a number crosses a threshold the course sets, and forecasting from past results.

Those messages go out in bulk or on a rule, and the dashboards serve whoever logs in. A note to a regular who missed a tee time, an offer to the next golfer waiting on a Saturday slot and the scramble's morning count all start with someone in the shop opening foreUP.

A cancelled tee time comes with an offer drafted for the next golfer waiting

Cancelled tee times in the next 48 hours that still have open spots go to the tee sheet team in Slack, each matched to the next eligible golfer on the waitlist, with slots inside 24 hours marked urgent. Staff then send each golfer the Gmail offer drafted for them, with the time, the date and a deadline to confirm.

The head pro reviews re-engagement drafts for yesterday's no-shows, each addressing the golfer by name, naming the missed tee time and inviting a rebooking, and the Slack summary links straight to the drafts folder.

The events coordinator's eight o'clock digest gives every upcoming tournament's registrations, capacity and open spots, flags events that are nearly full or below their target, and highlights in the tracking sheet any within five spots of selling out.

The shop manager approves the evening's review requests in Gmail, one for each golfer who played that day. Management's Monday digest in Slack gives last week's rounds and revenue against the previous week, and the sheet keeps the year-to-date totals.

The head pro decides who pays a no-show fee

A cancelled 8:10 needs the tee sheet, the waitlist and Gmail open together before anyone can offer the slot. WebRun is an AI agent that works a real Chrome browser, signed in as you. foreUP's custom employee permission roles decide which modules a login can open, so the role set up for these workflows can stop at the tee sheet, tournaments and reports.

Alongside foreUP's own automated no-show message, the follow-up drafts are for the regulars a course wants to invite back in person. Golfers hear only from Gmail drafts that someone in the shop sends, and the head pro is the only one who clicks Charge No Show.

Questions people ask

Can golfers get the offers and follow-ups as texts instead of emails?

These workflows draft email in Gmail. Texts stay with foreUP's own texting, which needs the Marketing module, a verified number and golfers who opted in by texting GOLF to the course's marketing number.

Does a golfer who plays every week get a review request every week?

No. Anyone who had a request in the previous 90 days is skipped, and so are walk-ins and guests with no email on their record. Each draft links to the review site you prefer.

What is in the Monday rounds and revenue digest?

Last week's rounds by day and player type, revenue across greens fees, the pro shop, food and beverage and lessons, and how each moved on the previous week, read from foreUP's Business Intelligence or reporting section. The sheet adds a row each week with year-to-date totals.
