Automated Creative Cloud Share Link Audit

Every night, WebRun opens Adobe Creative Cloud, walks your cloud documents, folders and libraries, lists every active share link and outside collaborator, raises a Trello card for anything still shared on a finished project, and sends you the summary on WhatsApp so old client links get switched off.

In short

How do I find Creative Cloud files that are still shared publicly?

WebRun audits your Adobe Creative Cloud sharing every night. It walks your cloud documents, folders and libraries, lists every active share link and outside collaborator, raises a Trello card for anything still open on finished work, and sends you a WhatsApp summary naming the oldest open shares.

  • Client links from finished projects stop living forever
  • Public links are separated from named collaborators every night
  • Each open share becomes a card someone can close, not a vague worry

Built for design studios · creative directors · agencies · brand teams · IT and security leads

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens creativecloud.adobe.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Adobe Creative Cloud - list share links and collaborators
    • Open Adobe Creative Cloud and go through your cloud documents, folders and libraries
    • For each item, read who it is shared with and whether a public link is active
    • Capture the file name, project, owner, link status and every collaborator outside your team
    • Note the last modified date so finished work stands out from live work

Done when Every shared file has its link status and collaborator list recorded.

  3. 2
Trello - raise a card per open link
    trello.com
WebRun in Trello: raise a card per open link
WebRun opens Trello to raise a card per open link.
    • Create a Trello card for each file still shared outside the team on a project marked finished
    • Put the file, the project, the collaborators and the days since last edit on the card
    • Label public links separately from named collaborators so the risky ones are obvious
    • Leave revoking access to a human. WebRun never removes a collaborator or kills a link itself

Done when The board carries one card per share that a person needs to review.

  4. 3
WhatsApp - send the nightly summary
    whatsapp.com
WebRun in WhatsApp: send the nightly summary
WebRun opens WhatsApp to send the nightly summary.
    • Send yourself or the studio group a short WhatsApp summary of tonight's audit
    • Say how many files are shared, how many of those are public links, and how many sit on finished projects
    • Name the three oldest open shares so the worst offenders are visible without opening the board

Done when You have tonight's share audit summary on WhatsApp.

Good to know

Questions, answered

Will it revoke access on its own?

No. WebRun lists what is shared and raises a card for each one. Removing a collaborator or killing a public link stays a human decision made in Creative Cloud.

Does it open or download my design files?

No. It reads the sharing state on each file, not the artwork. File uploads and downloads are blocked by the strict lockdown policy.

How does it know a project is finished?

From the folder or project label you point it at, plus the last modified date. Anything edited recently is treated as live work and left off the review list.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
