Automated Yocale Daily Schedule and Gap Digest

Every morning, WebRun opens Yocale, reads today's booked appointments and any open gaps in the schedule, cross checks each provider's personal Google Calendar so a private conflict doesn't double book them, and drafts a WhatsApp confirmation reminder for staff to send to each client.

In short

How do I check today's Yocale schedule against my staff's personal calendars?

Every morning, WebRun reads today's Yocale bookings and open gaps, checks each provider's personal Google Calendar for a conflict, and drafts a WhatsApp confirmation reminder for every client. Staff start the day with a checked schedule and ready reminders instead of discovering a conflict when the client walks in.

  • Personal calendar conflicts get caught before a client arrives
  • Every client has a reminder drafted and ready each morning
  • Open gaps in the day are visible without opening Yocale manually

Questions, answered

Will it text clients without anyone checking first?

No. WebRun only drafts the WhatsApp reminder and leaves it unsent. A staff member reviews and sends each one, so no client gets a message nobody approved.

What happens if a provider has a personal conflict?

WebRun flags it so staff can resolve it before the client shows up. It never moves or cancels a booking on its own.

Does it try to fill the open gaps it finds?

No. It only reports where the gaps are. Filling them with a new booking is a step staff or the online booking page handles.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
