Automated Vistaprint Reorder Reminders

Every Monday, WebRun checks the Airtable log of past Vistaprint orders for anything approaching its reorder date, such as annual holiday cards or business cards due for a refresh with new hires, and drafts a Gmail reminder to the office manager with a link back to Vistaprint, leaving the draft unsent until someone reviews it.

In short

How do I get reminded before recurring Vistaprint orders run out?

WebRun checks your Airtable log of past Vistaprint orders every Monday for anything nearing its reorder date, then drafts a Gmail reminder to the office manager with the product, quantity, and a link back to Vistaprint. The draft waits for review, so nobody discovers business cards or holiday stock ran out too late.

  • Recurring print orders get reordered before stock hits zero
  • The office manager reviews one draft instead of tracking dates by hand
  • New hire materials get flagged instead of using outdated cards

Questions, answered

Will it place the reorder itself?

No. WebRun only drafts a reminder email with the details and a link back to Vistaprint. Placing the order and paying for it is always a manual step.

How does it know when to reorder?

It reads the reorder anniversary date you set on each row in the Airtable order log, so it is only ever as accurate as the log itself.

What if the order details have changed, like a new employee name?

The draft reminder flags the last order details so someone can update them before reordering, rather than assuming the old order is still correct.

Put this on autopilot.
