How do I make sure preventive maintenance gets booked before it is due?
Every morning, WebRun opens simPRO, finds the assets whose next service date is approaching and checks whether a job has been booked against each one. It opens a Trello card for every asset with no job, and files the maintenance due record in Google Drive for your contract evidence.
- Contracted maintenance is booked before the due date passes
- Every unscheduled asset has a card with its site and deadline
- A dated compliance record builds itself in Google Drive
Built for service coordinators · field-service teams · HVAC and fire safety contractors · facilities managers

1
simPRO - find assets due with no job
- Open simPRO and list assets with a next service date inside your booking window
- Capture the asset, the site, the customer and the service level it is covered by
- Check whether a job already exists against that asset for the due service
- Note which technicians hold the qualification the service needs
Done when Every asset due for service is marked as booked or still unscheduled.
-
2
Trello - raise a card to schedule
WebRun opens Trello to raise a card to schedule. - Create a scheduling card for each unscheduled asset on the maintenance board
- Put the site, asset, due date, service level and qualified technicians on the card
- Order the board by due date so the tightest deadline sits at the top
- Leave booking to the coordinator. WebRun never creates a job or contacts a customer
Done when Every unscheduled asset has a card with its due date and site details.
-
3
Google Drive - file the maintenance record
WebRun opens Google Drive to file the maintenance record. - Save the day's maintenance due record to the compliance folder in Google Drive
- Keep one row per asset with the due date, the customer, the service level and whether it was booked
- Roll the file forward daily so the record shows how long anything sat unscheduled
Done when The compliance folder holds today's dated record of what was due and what was booked.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it create jobs in simPRO?
No. WebRun reads asset and job records and raises an internal Trello card instead. Creating the job, assigning a technician, and booking the customer stay with your coordinator.
Does it contact the customer?
No. Nothing is emailed or texted to a customer or a site contact. The output is an internal Trello board and a record filed in your own Google Drive.
How far ahead does it look?
As far ahead as your booking window needs, so an asset with a 30 day lead time is raised 30 days out and a same-week service is raised in the same week.
