Automated Shutterstock Licence Logging

Every Monday, WebRun signs in to Shutterstock, opens your download history, records each newly licensed image, video or track with its asset ID, licence type, contributor and download date into a Notion asset library, and posts a short Telegram summary of what the team licensed last week.

In short

How do I keep a record of every Shutterstock asset we licensed?

WebRun signs in to Shutterstock each week, reads your download history, and records every newly licensed image, video or track in a Notion library with its asset ID, licence type, contributor and date. It then posts a Telegram summary of what the team licensed, so proof of licence is never lost.

  • Proof of licence for every asset sits in one searchable Notion library
  • Extended and enhanced licences are surfaced to whoever owns the budget
  • A usage question years later is answered from a row, not from memory

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.shutterstock.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Shutterstock - read last week's licensed downloads
    shutterstock.com
WebRun in Shutterstock: read last week's licensed downloads
WebRun opens Shutterstock to read last week's licensed downloads.
    • Sign in to Shutterstock and open your account download history
    • Filter to downloads from the last seven days
    • Capture the asset ID, title, media type, contributor, licence type, and download date for each
    • Note the size or format taken so the record matches the file the team holds
    • Skip anything already recorded in a previous run

Done when Every download from the last week is captured with its asset ID and licence type.

  3. 2
Notion - record each asset and licence
    notion.so
WebRun in Notion: record each asset and licence
WebRun opens Notion to record each asset and licence.
    • Open your asset licence library database in Notion
    • Add one row per newly licensed asset with its ID, title, contributor, licence type, and date
    • Add the Shutterstock asset link so anyone can open the original
    • Leave the project field blank for a designer to fill in, and group the view by media type
    • Never overwrite a row that a human has annotated

Done when Every new licence has a row in the Notion library.

  4. 3
Telegram - summarise what the team licensed
    telegram.org
WebRun in Telegram: summarise what the team licensed
WebRun opens Telegram to summarise what the team licensed.
    • Post a short summary of the week to your design channel
    • Include how many assets were licensed, split by media type
    • Name any asset licensed under an enhanced or extended licence so budget owners can see it
    • Link the Notion library so the full record is one tap away

Done when The team has this week's licensing summary in Telegram.

Questions, answered

Will it download or license anything itself?

No. WebRun only reads the download history you already have. It never licenses a new asset, never spends a download credit, and never charges your account.

Why keep a licence log at all?

Because proof of licence lives in your account, not in the file. A Notion row with the asset ID, licence type and date means you can answer a usage question years later in seconds.

What if two designers downloaded the same image?

Both downloads are recorded, but the library keeps one row per asset ID with the earliest licence date and a note of the repeat, so the record stays clean.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
