Automated ScreenPal Caption Coverage Checks

Every night, WebRun opens ScreenPal, walks your published videos folder by folder, checks whether each one has captions or a transcript, records the result in Airtable, and sends you a short WhatsApp list of the videos whose share links are live without captions.

In short

How do I check that every published video has captions?

WebRun checks caption coverage across your ScreenPal library every night. It walks each folder, records in Airtable whether every published video has captions or a transcript, and sends you a WhatsApp list of the uncaptioned ones with their share links, so accessibility gets fixed before anyone shares the video.

  • Uncaptioned videos are caught the night they go live
  • Caption coverage is tracked per folder in one Airtable view
  • Nobody shares a training link that half the audience cannot follow

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens screenpal.com in a real browser with your saved login - no setup, no API keys.

  2. 1
ScreenPal - check captions on published videos
    screenpal.com
WebRun in ScreenPal: check captions on published videos
WebRun opens ScreenPal to check captions on published videos.
    • Sign in to ScreenPal and open your video library
    • Go folder by folder and capture every video that has a live share link, with its title, folder, and publish date
    • Open each one and record whether captions or a transcript are attached, and whether the captions are auto-generated or edited

Done when Every published video has a yes or no against captions.

  3. 2
Airtable - record coverage per video
    airtable.com
WebRun in Airtable: record coverage per video
WebRun opens Airtable to record coverage per video.
    • Update your video coverage base with tonight's result for each video: title, folder, share link, and caption status
    • Add any newly published video as a fresh row and mark it uncaptioned until proven otherwise
    • Track how many days each uncaptioned video has been live so the oldest gaps rise to the top

Done when The base shows current caption status and days uncaptioned for every published video.

  4. 3
WhatsApp - send tonight's caption gaps
    whatsapp.com
WebRun in WhatsApp: send tonight's caption gaps
WebRun opens WhatsApp to send tonight's caption gaps.
    • Send your team chat tonight's caption coverage: how many published videos have captions and how many do not
    • List each uncaptioned video with its folder, its share link, and how long it has been live
    • Say nothing when coverage is complete so a quiet night means every published video has captions

Done when You know tonight whether any published video is live without captions.

Good to know

Questions, answered

Will it change or publish captions itself?

No. WebRun only reads caption status and reports the gaps. Generating, editing, or publishing captions stays with you, so nothing goes out on a video without a person choosing it.

Does it check unpublished videos too?

It focuses on videos with a live share link, because those are the ones an audience can already reach. Drafts are counted separately so you can fix captions before you publish.

What if captions are auto-generated but never reviewed?

WebRun records that distinction. Auto-generated captions show as present but unreviewed, so you can decide whether a machine transcript is good enough for that audience.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
