Automated Outreach Opt-Out and Bounce Cleanup
Every Monday, WebRun opens Outreach, collects the prospects who opted out and the addresses that hard bounced in the last week, checks which sequences and mailboxes still hold them, logs the suppression list in Airtable, and drafts you a Gmail summary to approve.
How do I keep opt-outs and bounced addresses out of my sequences?
Every Monday WebRun opens Outreach, collects the week's new opt-outs and hard bounced addresses, and checks which sequences and mailboxes still hold them. It logs each one in Airtable with the removal to make and drafts a Gmail summary for sales operations, so nobody emails a person who already asked to stop.
- Nobody who opted out is emailed again by a running sequence
- Bounce counts per mailbox surface a sending problem early
- Removals wait for a human tick before any sequence changes
Built for sales operations · SDR teams · revenue operations · B2B sales leaders

1
Outreach - collect opt-outs and bounces
WebRun opens Outreach to collect opt-outs and bounces. - Open Outreach and filter prospects to those who opted out in the last 7 days
- Add the addresses that hard bounced over the same period
- For each one, note the sequences it is still active in and the sending mailbox
- Capture the domain so repeat bounces from one company are visible together
Done when Every new opt-out and hard bounce is listed with the sequences still holding it.
-
2
Airtable - build the suppression list
WebRun opens Airtable to build the suppression list. - Add a row per address with the reason, the date, and the sequences involved
- Mark whether it is an opt-out or a hard bounce, since they need different handling
- Roll up bounce counts per sending mailbox and per recipient domain
- Leave an approve column for sales ops to tick before anything is removed
Done when The suppression list is built in Airtable and waiting for sign-off.
-
3
Gmail - draft the summary for sign-off
WebRun opens Gmail to draft the summary for sign-off. - Draft an email with the week's opt-out and bounce counts and the worst mailboxes
- List the sequences that still hold a suppressed address
- Link the Airtable list so removals can be approved in one place
- Leave the email as a draft. WebRun never removes a prospect from a sequence itself
Done when A summary draft sits in Gmail and no sequence has been changed.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it remove people from sequences on its own?
No. WebRun builds the suppression list and shows which sequences still hold each address. Removing a prospect or finishing a sequence stays a click sales ops makes.
Does it send any email?
No. The weekly summary is left as an unsent Gmail draft, and no prospect is ever contacted. The whole point is to stop mail going to these addresses.
Why separate opt-outs from hard bounces?
An opt-out is a person asking to stop, so it must be honoured everywhere. A hard bounce is a dead address that damages sending reputation. The list marks each one so you handle both correctly.
