Automated Dynamics 365 Lead Assignment Checks
Every morning, WebRun opens Microsoft Dynamics 365, reads the leads created since the last run, finds the ones with no owner assigned or no activity logged, creates a Trello card per gap with the lead source and age, and books a first-touch slot in Google Calendar for the owner who should be calling.
How do I make sure new CRM leads get an owner and a first touch?
WebRun opens Microsoft Dynamics 365 each morning and checks the leads created in the last 48 hours for a missing owner or no logged activity. It raises a Trello card for every gap with the lead source and hours waiting, and books a first-touch slot in Google Calendar for the rep who owns it.
- Unassigned leads are surfaced the morning after they land
- Every owned lead gets a booked slot for its first call
- Managers see lead source and hours waiting instead of digging through the list

- Filter to leads created in the last 48 hours whose status is still new or open
- Flag any lead with no owner assigned, and any lead with an owner but no activity logged against it

-
3
Google Calendar - book the first-touch slot
WebRun opens Google Calendar to book the first-touch slot. - Book a short first-touch slot in Google Calendar for each lead that already has an owner but no activity
- Put the lead name, company and phone number in the event so the rep can dial straight from it
- Find the first free slot in that owner's working hours rather than double booking
- Leave leads with no owner off the calendar until the manager assigns one
Done when Every owned but untouched lead has a first-touch slot booked with its contact details.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it contact the lead itself?
No. WebRun only creates an internal Trello card and books a slot for your rep. It never emails, texts or calls the lead, so the first contact is always a person.
Does it reassign leads in Dynamics 365?
No. It reads the lead records and reports what is missing. Assigning an owner stays a manager decision made in Dynamics 365.
What counts as a first touch?
Any activity logged against the lead in Dynamics 365, such as a call, an email or a task. A lead with an owner and at least one logged activity drops off the list.
