Automated Maersk Cut-Off Deadline Tracking

Every morning, WebRun opens Maersk, reads your active bookings and the documentation and VGM cut-off times on each, works out which ones close in the next 48 hours and still have paperwork outstanding, drafts a chase email in Gmail to whoever owes it, and sends the countdown to your ops group on WhatsApp.

In short

How do I make sure shipping instructions and VGM are filed before the cut-off?

Every morning, WebRun opens Maersk, reads the documentation and VGM cut-off times on your active bookings, and finds the ones closing within 48 hours that still have paperwork outstanding. It drafts a chase email in Gmail for each and sends the countdown to your ops group on WhatsApp, so no container is rolled.

  • Missing paperwork is chased the morning before the cut-off, not after
  • Every chase email waits for a human to send it
  • No container is rolled to the next vessel over a missed deadline

Built for export coordinators · freight forwarders · shipping departments · logistics teams

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens www.maersk.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Maersk - read bookings and cut-off times
    • Open Maersk and list your active bookings that have not yet sailed
    • Read the documentation cut-off and the VGM cut-off shown against each booking
    • Check whether shipping instructions have been submitted and whether a VGM figure is on file
    • Capture the container numbers, the vessel, and the departure date for each booking
    • Keep the bookings whose cut-off falls in the next 48 hours with paperwork still outstanding

Done when Every booking with a cut-off closing in 48 hours and missing paperwork is listed.

  3. 2
Gmail - draft the chase for missing paperwork
    gmail.com
WebRun in Gmail: draft the chase for missing paperwork
WebRun opens Gmail to draft the chase for missing paperwork.
    • Draft a short chase email in Gmail for each booking that is still missing something
    • Address it to the shipper, forwarder, or warehouse who owes the shipping instructions or the VGM weight
    • Put the booking number, the container, the vessel, and the exact cut-off time in the message
    • Leave every email as a draft. WebRun never sends to a customer or submits paperwork to the carrier on its own

Done when A drafted chase is waiting in Gmail for every booking missing paperwork.

  4. 3
WhatsApp - send the countdown to ops
    whatsapp.com
WebRun in WhatsApp: send the countdown to ops
WebRun opens WhatsApp to send the countdown to ops.
    • Send today's countdown to your export ops group on WhatsApp
    • List each booking with hours left until its cut-off, soonest first
    • Say what is missing on each: shipping instructions, VGM, or both
    • Note the bookings that are fully documented so the group knows what is already safe

Done when The ops group has today's countdown with hours remaining per booking.

Good to know

Questions, answered

Will it submit shipping instructions or VGM for me?

No. WebRun reads the booking and reports what is missing. Submitting shipping instructions or filing a VGM figure with the carrier stays a human action, because it is binding once sent.

Will it email my shipper without approval?

No. Every chase is left as a Gmail draft with the booking, container, and cut-off time filled in. You read it and press send, so nothing reaches a customer unreviewed.

What if a cut-off moves?

It reads the live cut-off times in Maersk on every run, so a pulled-forward deadline is reflected the next morning and the booking rises up the countdown.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
