Automated Jotform Approval Chasing
Every morning, WebRun opens Jotform, reads each approval flow for submissions sitting in a pending state, works out who they are waiting on and for how long, creates a chase card per stuck request in Trello, and drafts a WhatsApp nudge to the approver for you to send.
How do I chase form submissions stuck waiting for approval?
WebRun checks your Jotform approval flows every morning and finds submissions still sitting in a pending state, noting who each one waits on and for how long. It raises a chase card in Trello per stuck request and drafts a WhatsApp nudge to the approver, so a parked request gets moved the same day.
- Stuck requests are visible the morning they stall, not a week later
- Every pending approval has a named person against it
- Approver nudges go out the same day, after you approve the wording
Built for operations teams · HR teams · finance approvers · facilities managers
What does WebRun do on every run?
The exact actions WebRun takes, in order - in plain language, so you can adjust anything.
-
WebRun signs in and gets to work
Opens

1
Jotform - find submissions stuck in approval
WebRun opens Jotform to find submissions stuck in approval. - Open Jotform and list the forms that have an approval flow attached
- Read each flow's submissions and keep the ones whose approval status is still pending
- Record the submitter, the form, the current approver, and how many days the request has waited
- Note where the flow has more than one step, so a request waiting at step two is not reported as brand new
- Skip anything already approved, denied, or withdrawn
Done when Every pending submission is listed with its approver and its waiting time.
-
2
Trello - raise a chase card per request
WebRun opens Trello to raise a chase card per request. - Open your approvals board in Trello and create a card per stuck submission
- Title each card with the form and the submitter, and put the approver in the card description
- Move cards into lists by age: waiting under three days, three to seven days, and over a week
- Archive the card automatically on a later run once the submission has been approved or denied
Done when Trello holds one live card per pending approval, sorted by how long it has waited.
-
3
WhatsApp - draft a nudge for the approver
WebRun opens WhatsApp to draft a nudge for the approver. - Draft a short, polite WhatsApp nudge to each approver naming the request and the days it has waited
- Leave every message unsent in the chat for you to read and send
- Group multiple pending requests for the same approver into one message rather than several
Done when A nudge is drafted for every approver holding a request, ready for you to send.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it message approvers without me?
No. Every WhatsApp nudge is left as an unsent draft in the chat for you to read and send. WebRun never messages a colleague or a submitter on its own.
Can it approve a request itself?
No. WebRun only reads approval status in Jotform. Approving or denying a submission stays with the named approver, so the audit trail keeps a human decision on every request.
What about requests that were just submitted?
Set the waiting threshold you care about, for example two days, and WebRun only chases requests older than that, so today's submissions are left to run their normal course.
