Automated Handshake Posting Approval Tracking

Every Monday, WebRun opens Handshake, checks each job posting for schools that have not approved it yet and for expiration dates falling this week, records the state of every posting in a Google Drive sheet, and messages your campus recruiters on WhatsApp with what needs a nudge.

In short

How do I keep track of Handshake job postings pending school approval?

WebRun opens Handshake every Monday and checks every job posting for schools that have not approved it and for expiration dates falling this week. It records the snapshot in a Google Drive tracker and messages your campus recruiters on WhatsApp, so no req sits invisible to students.

  • Pending school approvals are chased the same week they stall
  • No posting expires quietly off a school's board
  • Reqs with zero applications surface early enough to rewrite

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens joinhandshake.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Handshake - find pending and expiring postings
    joinhandshake.com
WebRun in Handshake: find pending and expiring postings
WebRun opens Handshake to find pending and expiring postings.
    • Open Handshake and list your active job postings with their titles and expiration dates
    • For each posting, capture which schools have approved it, which are still pending, and which declined
    • Flag postings expiring within seven days and any posting with zero applications so far

Done when Every posting has its school approval status, its expiration date, and its application count.

  3. 2
Google Drive - keep the posting record
    drive.google.com
WebRun in Google Drive: keep the posting record
WebRun opens Google Drive to keep the posting record.
    • Open your recruiting folder in Google Drive and add this week's rows to the posting tracker sheet
    • Record the posting, the school, the approval state, the expiration date, and the applications received
    • Keep the previous weeks so you can see which schools are consistently slow to approve

Done when This week's posting and approval snapshot is saved in the Google Drive tracker.

  4. 3
WhatsApp - tell recruiters what to chase
    whatsapp.com
WebRun in WhatsApp: tell recruiters what to chase
WebRun opens WhatsApp to tell recruiters what to chase.
    • Message your recruiting group with the postings still pending approval, grouped by school
    • List separately the postings expiring this week that need extending or reposting
    • Note which reqs have no applications yet so someone can rework the description. WebRun does not message the schools

Done when Recruiters have this week's approval and expiry chase list in WhatsApp.

Questions, answered

Will it message schools or career centres on my behalf?

No. WebRun reads the approval status and reports it to your own recruiting group. Contacting a career centre, extending a posting, and reposting a req all stay a human decision.

Can it extend a posting that is about to expire?

It flags the expiry but does not change the posting. WebRun lists everything expiring within seven days so a recruiter can extend or repost it inside Handshake.

How does it tell an approved posting from a pending one?

It reads the live approval status each school shows against the posting in Handshake every Monday, so anything approved during the week drops off the chase list on its own.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
