Automated Instantly Campaign Lead Refills

Every morning, WebRun opens Instantly, counts the leads still to be contacted in each campaign, compares that to the daily send limit to get days of runway, checks Google Drive for a list ready to upload, and creates a Trello card for every campaign that needs leads today.

In short

How do I know when a cold email campaign is about to run out of leads?

WebRun opens Instantly every morning, counts the leads still waiting on a first send in each campaign, and divides that by the daily send limit to get days of runway. It checks Google Drive for a prepared list and raises a Trello card for every campaign running low, so outbound volume never quietly falls to zero.

  • Sending volume never drops to zero without warning
  • Every campaign shows days of leads left, not just a count
  • Refill work is queued on a board with the list already linked

Built for outbound sales teams · lead generation agencies · SDR managers · founders doing outbound

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens app.instantly.ai in a real browser with your saved login - no setup, no API keys.

  2. 1
    Instantly - count remaining leads
    instantly.ai

    • Open Instantly and list every active campaign
    • Record how many leads are still waiting on a first send in each one
    • Read the daily send limit and the number of sequence steps per campaign
    • Divide the remaining leads by the daily limit to get days of runway

Done when Every active campaign has a remaining lead count and a days-of-runway figure.

  3. 2
Google Drive - check for a ready list
    drive.google.com
WebRun in Google Drive: check for a ready list
WebRun opens Google Drive to check for a ready list.
    • Open your prospecting folder in Google Drive and list the lead files waiting there
    • Match each file to the campaign it was prepared for by name or folder
    • Note which campaigns running low already have a list ready and which have nothing

Done when Each low campaign is marked as having a list ready or needing one built.

  4. 3
Trello - raise the refill cards
    trello.com
WebRun in Trello: raise the refill cards
WebRun opens Trello to raise the refill cards.
    • Create a Trello card for every campaign with fewer days of runway than your threshold
    • Put the campaign name, leads remaining, days left, and daily limit on the card
    • Link the ready file in Google Drive when there is one, or label the card Needs list
    • Sort the board so the campaign closest to empty sits at the top

Done when Every campaign at risk of running dry has a card on the refill board.

Good to know

Questions, answered

Will it upload leads or start sending?

No. WebRun counts what is left and raises a card. Uploading a list and starting a campaign stays a human step, so nobody emails a list that has not been checked.

How is days of runway calculated?

Leads still waiting on a first send divided by the campaign's daily send limit. A campaign with 400 leads left and a 100 per day limit shows four days, and you set the threshold that raises a card.

Does it touch the emails already in a sequence?

No. WebRun only reads campaign counts and settings. Contacts already in a sequence keep running exactly as configured, and no send, pause, or step is changed.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
