Automated Meeting Action Item Capture

You hand WebRun the notes after a meeting. It reads them for action items, works out the owner and the date implied by each, creates one Google Tasks entry per action in the right list with details and a due date, drafts each owner a WhatsApp message listing their items, and mirrors the actions onto a Trello board.

In short

How do I turn meeting notes into tasks with owners and due dates?

WebRun turns your meeting notes into tasks. Upload the notes and it pulls out every action item with its owner and date, creates one Google Tasks entry per action in the right list, drafts each owner a WhatsApp message for you to approve, and mirrors the actions onto a Trello board.

  • Follow-ups stop living in a doc nobody reopens
  • Every action lands with an owner and a date attached
  • Owner messages are drafted for approval, never sent behind your back

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens tasks.google.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Google Tasks - file every action item
    tasks.google.com
WebRun in Google Tasks: file every action item
WebRun opens Google Tasks to file every action item.
    • Read the uploaded notes and pull out every action item, its owner, and any date mentioned
    • Open Google Tasks and create one task per action in the list that matches the project
    • Put the surrounding sentence from the notes into the task details so context survives
    • Set a due date from the notes, or the default you chose when no date was said

Done when Every action item from the notes exists as a dated task in the right list.

  3. 2
WhatsApp - draft each owner their list
    whatsapp.com
WebRun in WhatsApp: draft each owner their list
WebRun opens WhatsApp to draft each owner their list.
    • Open the chat with each owner who picked up an action
    • Draft a short message listing their items and dates from this meeting
    • Leave every message unsent for you to read and send
    • Never message an external attendee or a client automatically

Done when Each owner has a drafted message waiting for your approval.

  4. 3
    Trello - mirror the board
    trello.com
WebRun in Trello: mirror the board
WebRun opens Trello to mirror the board.
    • Create a Trello card per action on the project board with the owner and due date
    • Link the card back to the task so the two stay recognisable
    • Skip actions that already have a card from an earlier meeting
    • Mark completed tasks as done on the board on the next run

Done when The board carries every action from this meeting with its owner and date.

Good to know

Questions, answered

Will it message people without me?

No. Each owner's WhatsApp message is drafted and left unsent in the chat. You read it and press send, so nobody hears from WebRun on its own, least of all an external attendee.

What if the notes do not give a date?

It uses the default window you set, for example seven days out, and marks the task so the missing date is obvious. It never invents a deadline that was not discussed.

How does it know which list a task belongs in?

You map project names to Google Tasks lists once. WebRun reads the project mentioned in the notes and files the action there, falling back to a single inbox list when it cannot tell.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
