Automated Fresha Stock Reorder Alerts

Every Monday, WebRun opens Fresha, reads the stock level of every retail and back bar product, compares it against the last few weeks of sales and service usage, works out roughly how many weeks of cover is left, cards the low items in Trello by supplier, and logs the reorder list in Airtable.

In short

How do I know when to reorder salon retail and back bar stock?

WebRun opens Fresha every Monday and reads the stock level of every retail and back bar product against the last four weeks of sales. It estimates the weeks of cover left on each, cards the low items in Trello grouped by supplier, and logs the reorder list in Airtable.

  • Fast-moving colour lines flag before they run out mid week
  • Every reorder is grouped by the supplier who fills it
  • WebRun never places an order: the spend stays your call

Step by step

What does WebRun do on every run?

The exact actions WebRun takes, in order - in plain language, so you can adjust anything.

  1. WebRun signs in and gets to work

Opens fresha.com in a real browser with your saved login - no setup, no API keys.

  2. 1
Fresha - read stock against sales pace

    • Open Fresha and read the current stock level of every retail and back bar product
    • Pull the last four weeks of product sales and usage against services
    • Work out the average weekly draw on each product
    • Divide current stock by the weekly draw to estimate the weeks of cover left
    • Note the supplier recorded against each product

Done when Every product has a stock level, a weekly draw, and an estimated weeks of cover.

  3. 2
Trello - card the reorders by supplier
    trello.com
WebRun in Trello: card the reorders by supplier
WebRun opens Trello to card the reorders by supplier.
    • Open your ordering board in Trello and add one card per supplier
    • List that supplier's low products with the stock on hand and weeks of cover
    • Put products with under two weeks of cover at the top of each card
    • Archive cards for products restocked since the last run

Done when Every supplier with something to order has a card ready.

  4. 3
Airtable - log the reorder list
    airtable.com
WebRun in Airtable: log the reorder list
WebRun opens Airtable to log the reorder list.
    • Open your stock base in Airtable and append this week's snapshot
    • Write a row per product: stock on hand, weekly draw, weeks of cover, supplier
    • Keep the history so seasonal swings in colour and retail lines are visible
    • Flag any product that has now hit zero

Done when This week's stock position is recorded in Airtable.

Questions, answered

Will it place an order with my supplier?

No. WebRun builds the reorder list and groups it by supplier. Placing the order and spending money stays entirely with you.

How is weeks of cover worked out?

It divides the current stock level by the average weekly draw from the last four weeks of sales and service usage, so a fast-moving colour line flags earlier than a slow retail item.

Does it change stock levels in Fresha?

No. WebRun reads product stock and sales and writes only to your own Trello board and Airtable base. Fresha inventory records are never edited.

Put this on autopilot.

Turn it on in minutes - or have our team set it up for you.
