Automated Formstack Submission Routing
Every hour, WebRun signs into Formstack, reads submissions received since the last run, sorts each by form and by what the person asked for, creates a Trello card carrying the answers and the contact details, and WhatsApps the teammate who owns that queue when a submission needs a same-day reply.
How do I route form submissions to the right team automatically?
WebRun checks Formstack every hour for new submissions and classifies each one by form and by what the person requested. It creates a Trello card carrying the full answers, routes it to the owning team, and WhatsApps the owner directly when a submission is flagged urgent.
- Submissions reach an owner within the hour instead of at end of day
- The card holds every answer, so nobody reopens the form tool
- Urgent requests get a direct message rather than sitting in a queue

Opens
formstack.comin a real browser with your saved login - no setup, no API keys. -
1
Formstack - read new submissions

- Read submissions received since the last run
- Capture the submitter's name, contact details, and every answered field
- Classify each submission by the form it came from and the option the person selected
- Flag submissions marked urgent, or where the person asked for a call back

-
2
Trello - card and route each one
WebRun opens Trello to card and route each one. - Open the intake board in Trello
- Create one card per submission titled with the submitter and the request type
- Paste the full answers into the card description so nobody reopens the form tool
- Move the card to the list for the team that owns that form and assign the right member
- Skip submissions that already have a card from an earlier run this day
Done when Every new submission has a routed card with its answers attached.
-
3
WhatsApp - alert the owner on urgent ones
WebRun opens WhatsApp to alert the owner on urgent ones. - WhatsApp the teammate who owns the queue when a submission is flagged urgent
- Include the submitter's name, the request, and the card link
- Send an hourly roll-up to yourself only when submissions arrived, so quiet hours stay quiet
- Message teammates only. Never contact the person who filled in the form
Done when Owners have been alerted to every urgent submission from this hour.
How is each run configured?
Secure by default
Connect once, stays signed in
WebRun signs in once and keeps each session in a persistent environment, so every run picks up right where it left off.
Every action is checked against this policy before it runs.
Questions, answered
Will it reply to the person who filled in the form?
No. WebRun routes submissions internally: a Trello card for the team and a WhatsApp alert to the owner. Any reply to the submitter is written and sent by a person, so nobody gets an automated answer.
How does it decide who a submission belongs to?
By the form it came from and the option the submitter selected. Each form maps to a Trello list and an owner you set once, so a support request and a sales enquiry land with different people.
Does it edit or delete submissions in Formstack?
No. WebRun reads the submissions view only. The original record stays untouched in Formstack, which keeps your form data intact as the source of truth.
