Automated Deputy Timesheet Approval Chasing
Every morning in the run-up to payroll, WebRun opens Deputy, finds the timesheets still waiting for approval, flags the ones with a timing exception such as a long shift or a missing break, posts the outstanding list to Microsoft Teams, and messages each manager only the names they are responsible for.
How do I chase managers to approve timesheets before payroll?
WebRun opens Deputy every morning before payroll closes and finds the timesheets still awaiting approval. It flags shifts with timing exceptions, posts the outstanding list grouped by location to Microsoft Teams, and messages each manager on WhatsApp with only their own names and the days left.
- Payroll closes with approvals done, not chased on the last day
- Odd shifts get a real review instead of a blanket approval
- Each manager is messaged only about the people they approve for

1
Deputy - find unapproved timesheets
WebRun opens Deputy to find unapproved timesheets. - Open Deputy and go to the timesheets awaiting approval for the current pay period
- Capture the employee, the location, the shift date, the hours recorded, and the approving manager
- Flag exceptions: shifts far longer than scheduled, missing breaks, and clock-ins well outside the rostered time
- Count how many days are left until the pay period closes
Done when Every unapproved timesheet is listed with its manager, its hours, and any exception flag.
-
2
Microsoft Teams - post the outstanding list
WebRun opens Microsoft Teams to post the outstanding list. - Post the outstanding list to your operations channel, grouped by location
- Show the count of unapproved timesheets per manager and the days left before payroll closes
- List the flagged exceptions separately so they get a proper look rather than a blind approval
Done when The team can see, per location, exactly what is still unapproved and by when.
-
3
WhatsApp - message each manager their names
WebRun opens WhatsApp to message each manager their names. - Message each manager only the timesheets they need to approve
- Include the employee, the shift date, the hours, and any exception on that shift
- Keep it internal. WebRun never approves a timesheet, edits recorded hours, or messages the employee
Done when Every manager with outstanding approvals has their own named list.

Questions, answered
Will it approve timesheets itself?
No. WebRun reads what is outstanding and reports it. It never approves a timesheet, never edits recorded hours, and never exports to payroll. Approval stays a manager decision inside Deputy.
Does it message staff about their hours?
No. Messages go only to your own managers on WhatsApp and to your internal Microsoft Teams channel. WebRun never contacts an employee about their shift, their hours, or their pay.
What counts as a timing exception?
A shift much longer than the one rostered, a missing break, or a clock-in well outside the scheduled start. These are listed separately so they get a proper review rather than a blanket approval before payroll.
